Job DescriptionTerms of Employment: 12 Months FLSA Status: Non-Exempt Salary Scale: AFSCME, UA G10-G11 Compensation: $21.504-$38.187 per hour, based on experience. Job Summary Provides administrative and clerical support to the certification team within the Office of Human Resources. Assists in certification processing, tuition reimbursement, employee onboarding, job fair coordination, and staff recognition efforts. Maintains accurate certification and tuition reimbursement records and ensures compliance with state and district requirements. Minimum Qualifications • Education: High school diploma or equivalent. • Experience: Minimum of three (3) years of administrative support experience, preferably in a human resources or educational setting. • Other Requirements: o Valid driver's license required. o Must obtain and maintain Profiler status in the Maryland State Department of Education (MSDE) Educator Information System (EIS). o Willingness to complete additional training as required. Knowledge, Skills, and Abilities • Knowledge of educator certification regulations, tuition reimbursement policies, and HR best practices. • Skill in using Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and online HR platforms. • Skill in maintaining organized and detailed electronic and physical files. • Skill in event coordination and administrative task management. • Ability to maintain confidentiality and exercise discretion in all matters. • Ability to communicate effectively and professionally with staff, administrators, and external partners. • Ability to manage multiple projects and priorities independently and within deadlines. • Ability to work collaboratively with a team and provide exceptional internal customer service. Essential Duties • Handles certificated staff tuition reimbursement program, including program pre-approval, reimbursements, recoupment tracking, and coordination with payroll. • Maintains a general ledger spreadsheet of all tuition reimbursement and recoupments. • Files and maintains documentation for new college credits and professional development courses. • Maintains up-to-date records on educator certification renewals and communicates renewal requirements to employees. • Maintains active certification files for all certificated employees. • Processes certification terminations and updates records upon resignation. • Verifies new employees listed in Board reports with the National Association of State Directors of Teacher Education and Certification (NASDTEC) database. • Participates in the new-employee onboarding process and supports new hire certification processing. • Serves as subject matter expert and administrator for the CCPS online recruiting and check-in platform; creates job fair postings and coordinates with the Communications team for marketing. • Assists in preparing for and supporting Human Resources job fairs and recognition events, including planning, preparation, setup, check-in, and cleanup. • Maintains documentation of employee certification communications and timelines. • Responds to inquiries related to certification, tuition reimbursement, and HR events. • Performs other clerical and administrative tasks as assigned by the certification team or Office of Human Resources. Physical Demands & Work Environment • Must be able to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light weights (10-25 pounds). • Requires occasional travel to event sites. • Requires good hand-eye coordination, arm, hand, and finger dexterity, fine motor skills, and visual acuity for computer use. • Frequently required to sit, reach with hands and arms, talk, and hear during job tasks. • Work is performed in a standard office setting with a low to moderate noise level.
