POSITION SUMMARY: We have an exciting opportunity to join our team as a Manager-Operations. The operations manager is responsible for the departmental operations in the department of radiation oncology, it includes managing the medical secretaries, running weekly operational meetings. A highly organized and tasked oriented position that takes the lead in any project related to the operational needs of the department. The operation manager reports to the departmental administrator but works closely with the medical director, vice chair of operations, director of physics, technical operations manager, nursing, MCIT and other operational staff. This person will also manage and lead the QA/QI database, meetings and initiative, as well as the HRO initiatives.

JOB RESPONSIBILITIES:

  • Improve exam room utilization throughout department locations and work with supervising Nurse manager on exam room standardization strategies.
  • Performs other duties as assigned by administrator, vice chair or chair
  • Serves as backup for other practice managers as needed.
  • Manages departmental accreditation programs.
  • Manages new departmental operational initiatives and projects
  • Leads in collaboration with departmental leaders the quality and safety and patient experience initiatives.
  • Manage the QA/QI database and organize meetings to review the data.
  • Manages and lead projects related to process improvement, ARIA, EPIC and other initiatives.
  • Receives, compiles, classifies, reconciles and consolidates relevant data from varied sources; provides timely reports on routine data, trends and variances to appropriate parties.
  • Works with administrator and practice managers to establishes office procedures and communicates responsibilities and expected performance to staff.
  • Works with administrator to resolves direct report employee issues and addresses procedure and performance related issues. Authorizes attendance, schedules and sick time changes.
  • Works with administrator to resolves all operational complaints and problems using independent judgment and decision making skills to ensure patient satisfaction and adherence to hospital and practice standards
  • Responsible for workflows that ensure proper continuity of care between the department's locations in Manhattan, Brooklyn, Queens, and Long Island.
  • Serve as an on-site resource to improve practice operations- assure meaningful use reporting, wait lists and EPIC work queues are maintained.
  • Identify areas for improvement and develop detailed action plans as necessary. Optimize patient flow and patient access.
  • Works closely with Administration, on site Coordinators and Supervisors, Epic Operations, to identify opportunities to improve front end processes.
  • Oversee and manage policies and procedures to maintain standardization among all locations of NYU Langone Health.

MINIMUM QUALIFICATIONS:

  • Bachelor's Degree with a minimum of 3-5 years of relevant work experience or equivalent combination or training and relevant work experience.
  • Knowledge of current Healthcare life safety / NFPA / Electrical codes
  • Knowledgeable experience - on The Joint Commission - environment of care / regulatory affairs
  • Ability to work in a fast paced multi-physician practice environment.
  • Good communication, interpersonal and computer skills.
  • Ability to develop and maintain effective working relationships with physicians, staff and patients.
  • Strong analytical background and previous experience using Microsoft Excel, Access, and Visio.

PREFERRED QUALIFICATIONS:

  • Masters degree in Business Administration, Healthcare Administration or another related degree or experience in the field of operational management preferred
  • 3-5 years supervisory experience. Press Ganey experience preferred
  • Patient Satisfaction experience preferred. Strong analytical background and previous experience using Microsoft Excel, Access, and Visio

NYU Langone Health provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $88,524.96 - $133,900.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
