Job Description :

The Case Assignment Coordinator plays a critical administrative role in supporting the firm's legal operations by maintaining and updating the central case assignment database. This position ensures an efficient and equitable allocation of matters to attorneys and support staff, ensuring optimal workload distribution and timely progression of matters. The Case Assignment Coordinator also monitors and records attorney and client preferences and assignment histories to support efficient and consistent staffing practices. The position will review firm databases and software to ensure accuracy, completeness, and compliance with firm policies. Duties and Responsibilities

  • Manage and organize the firm's caseload, including determining appropriate attorney assignments based on factors like attorney expertise, capacity, and firm priorities
  • Collaborate with Paralegal team for paralegal staffing
  • Maintain and update the case assignment database with current information on assigned staff, including attorneys, paralegals, and partners
  • Record and track attorney and client-specific preferences with requirements related to staffing
  • Track staffing requirements and updates for every new matter from initiation through resolution
  • Regularly update case-staffing records to reflect changes in staffing, case assignments, and personnel status
  • Respond to internal inquiries related to case assignments and team composition
  • Coordinate with attorneys, paralegals and administrative teams to verify accuracy and completeness of assignment data
  • Audit case staffing to ensure all matters are appropriately staffed
  • Generate regular and ad hoc reports to support staffing decisions and workload analysis
  • Assist in implementing internal protocols for data integrity and security related to matter assignments
  • Participate in ongoing efforts to improve database functionality and reporting tools
  • Assist with data analysis and reporting, as needed
  • Perform other duties as assigned
Qualifications & Skills
  • Bachelor's degree in a relevant field (e.g. paralegal studies, business administration, criminal justice) or equivalent experience required
  • Minimum 3 years of experience in a legal support or administrative role, preferably within a law firm setting
  • 1-3 years of data entry or administrative experience, preferably in a legal or professional services environment.
  • Strong attention to detail and organizational skills
  • Advanced proficiency in Microsoft Office Suite, MS Excel, including use of pivot tables, data analysis, reporting, and utilization of complex formulas. Experience with VBA preferred
  • Familiarity with legal practice management software, e.g., viAllocate, is a plus
  • Ability to handle confidential information with discretion
  • Excellent verbal and written communication skills
  • Capable of working independently and collaboratively in a fast-paced legal environment

Job Type Full-Time, Non-Exempt Supervisory Responsibilities None Work Location Hybrid Work Schedule 8:30am - 5:30pm Monday-Friday. Occasional weekends and holidays. Hourly Rate $25-$35 per hour Physical Requirements Primarily sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to walk short distances, and/or drive a vehicle to deliver and pick up materials. Work can be performed with or without accommodations.
