Part-Time Bookkeeping Assistant | High-Profile Philanthropists | West LA

We are seeking a detail-oriented and discreet Bookkeeping Assistant to support two high-profile philanthropists with household financial operations and administrative coordination. This part-time position is ideal for someone with strong QuickBooks expertise, meticulous record-keeping skills, and the ability to handle light personal assistant duties in a private home office setting.

Schedule: Part-time, 34 days/week (MondayThursday, 9 AM4 PM)

Pay Rate: $35/hour

Key Responsibilities QuickBooks & Financial Oversight (Primary Responsibility)
  • Maintain and reconcile multiple personal and household bank and credit accounts in QuickBooks.
  • Categorize and cross-reference transactions, manually entering and tracking checks, rare purchases, and vendor payments.
  • Monitor accounts for unusual activity; verify PayPal transactions (Etsy, Uber, Amazon, etc.) due to past fraud concerns.
  • Track and follow up on refunds and reimbursements.
  • Run charitable donation reports and assist with year-end tax preparation for coordination with CPAs (Stan Katz & Nedra).
  • Ensure proper paper trail for all UBS, Credit Suisse, and donation-related documents.
  • Generate and submit weekly balance summaries for the principals; assist with check writing and account transfers as directed.
  • Maintain minimum balances and ensure timely (but not early) bill payments per household preferences.
Vendor Payments & Staff Payroll Support
  • Prepare and issue weekly checks to house staff (e.g., housekeeping, personal trainer, gardener).
  • Organize and pay incoming invoices from regular vendors (e.g., pest control, pool service, cleaning).
  • Oversee recordkeeping of routine and seasonal maintenance tasks.
Administrative Assistance (Secondary)
  • Collaborate with the principals executive assistant and household staff to coordinate light scheduling, maintenance, and travel logistics.
  • Maintain digital and physical files for receipts, statements, and key contacts.
  • Update household schedules and communicate with external contacts (vendors, event planners, travel agents) as needed.
  • Assist in correspondence and follow-ups for philanthropic engagements and charitable event planning.
  • Provide minor pet care for their small dog, such as occasional feeding or vet appointment coordination.
Qualifications
  • Expertise in QuickBooks with a strong understanding of expense tracking and reconciliation.
  • Prior experience in a bookkeeping, family office, or personal assistant role preferred.
  • Exceptional attention to detail and discretion when handling sensitive financial and personal information.
  • Comfort working in Mac and PC environments (iPhone, MacBook, etc.).
  • Ability to work independently, stay organized, and prioritize weekly financial tasks efficiently.
  • Familiarity with high-net-worth households or executive-level reporting is a plus.
