Summary of the Position The Bookkeeper maintains the financial records of the Parish and its departments, School, and Mt. Kelly Cemetery. The position is responsible for accurately recording accounts receivable and payable, preparing payroll and vendor payments, preparing reports as necessary and requested, assisting in budget preparation and end of the year financial report. This position works closely with the Parish Administrator, the priest primarily assigned to the Parish, and the Parish Finance Council. The Bookkeeper's work conforms to Archdiocesan guidelines and requirements and in compliance with Federal, State, and local tax and other requirements.
Main Responsibilities Enter bank deposits and other income on a weekly basis. Process invoices, contract payments, payments to the Archdiocese of Detroit (AOD) and Michigan Catholic Conference (MCC) as received by the parish and in a timely manner. File paid bills, reports, and other bookkeeping materials in a timely manner. Label storage boxes, if applicable, with destroy after date. Complete bank reconciliation in a timely manner. Reconcile accounts held by Detroit Catholic Parishes & Schools Trust (DCP&S). Process bimonthly payroll through Paycor or other payroll service as determined by the Archdiocese of Detroit. Submit federal tax payment and Michigan withholding monthly. Participate in budget planning for the coming fiscal year. Prepare reports as necessary, provide historical data, prepare and submit the finalized budget on time. Generate reports as requested by staff, parish ministries or organizations. Prepare employee contracts. On a quarterly basis, complete and submit Form 941 to the Internal Revenue Service. Prepare and submit fiscal year financial report to the Archdiocese in a timely manner. At calendar year end, prepare tax documents as required. Submit Michigan withholding report to the State treasury. Complete W-2's and submit information to Social Security. Distribute W-2's and 1099's to employees and vendors. Skills, Knowledge, and Abilities Excellent work ethic. A desire to work as a part of a parish staff. Dependability, accuracy and confidentiality. Safe environment compliant. Excellent oral and written communication skills. Good communication skills with parish staff, organizations, and parishioners. A general knowledge of Catholic parish life, parish structure, parish procedures; understanding of Catholic social teaching. Willingness and ability to learn and grow into the position. Excellent computer skills and knowledge of Sage Intaact software and necessary programs to be successful in this position. Education, Training and/or Experience The following may be negotiable depending on experience and willingness to learn.
Basic accounting knowledge and skills. College degree, preferably in accounting. Bookkeeping experience in a Catholic parish, ideally in the Archdiocese of Detroit. Proficiency in the use of Sage Intaact software. A working knowledge of financial policies and procedures of the Archdiocese of Detroit. A working knowledge of financial and insurance policies and procedures of Michigan Catholic Conference. Work Environment This is a full-time position, normally not to exceed 24 hours per week. Occasional attendance at meetings of the Parish Finance Council may be required. At certain times in the fiscal year, additional hours may be required as approved in advance.
