Bookkeeper Job Description Union Settlement is an East Harlem based nonprofit organization founded in 1895. For 128 years, Union Settlement has provided critical and innovative programming to children, youth, families, and older adults. Union Settlement s current programmatic portfolio includes 8 core program areas: Early Childhood Education, Youth Development & Opportunity (including after school programs), Family Services (including the Family Enrichment Center and the Family Childcare Network), the East Harlem Community Partnership, Adult Education, Comprehensive Mental & Emotional Healthcare (Mental Health Services), Aging, Health & Wellness Services (Older Adult Centers), and Economic Development. To learn more about Union Settlement, visit www.unionsettlement.org Position: Bookkeeper Department: Early Childhood Education Reports to: Executive Director, Business Operations, Compliance & Regulatory Affairs Hours: Full-time (35 hours weekly) Salary: $38,500 FLSA: Non-Exempt Location: On-site; Union Johnson, 1829 Lexington Ave (113th St) Position Summary: Under the general supervision of the Executive Director, Business Operations, Compliance & Regulatory Affairs, the Bookkeeper of a day care center maintains and records a complete and systematic set of Early Childhood Education center transactions for assigned center(s). Duties include greeting families and visitors, checking accounting records for accuracy, tracking invoices and payments, and maintaining a system for organizing documents. Responsibilities:
  • Greets visitors, determines the nature of their business, and conducts them to the appropriate person while presenting a pleasant personality to make them feel welcome.
  • Responsible for typing letters, memos, drafts, and general correspondence.
  • Answers, screens and routes incoming telephone calls.
  • Maintains office files.
  • Assists with the enrollment of new families.
  • Calculates monthly CACFP claim forms and submits.
  • Calculates monthly in-kind volunteer sheets and submits.
  • Attends meetings as deemed necessary by Supervisor.
  • Orders equipment, supplies, and other materials approved by the Director.
  • Maintains an inventory of program materials and supplies.
  • Performs general office functions including filing, faxing and copying.
  • Collects times and submits to payroll in a timely matter.
  • Distributes payroll.
  • Processing medical and welfare fund enrollment for new staff
  • Track staff medicals in accordance with DOH standards.
  • Ensures that monthly attendance is entered into the COPA.
  • Special projects as assigned.
Qualifications:
  • High School Diploma or equivalent.
  • Demonstrated computer proficiency, especially in Microsoft Word and Excel.
  • Excellent verbal and written communications.
  • Excellent organizational ability and interpersonal skills.
  • Demonstrated ability to perform multiple tasks effectively in a fast-paced, challenging, and constantly changing environment.
  • Ability to maintain confidential documents and matters.
  • A strong desire to help improve the lives of the residents in the East Harlem community.
