THE POSITION
This specialized role combines traditional billing responsibilities with the technical skills needed to streamline processes, improve accuracy, and leverage emerging technologies for efficiency.
ROLES AND RESPONSIBILITIES
- Lead a remote billing team of 4 -6 individuals, including but not limited to reviews, performance, and development.
- Accurate and Timely Billing: Oversee the entire billing cycle, ensuring invoices are generated, distributed, and processed accurately and on time.
- Data Analysis and Reporting: Analyze complex billing data to identify trends, discrepancies, and opportunities for optimization.
- Process Improvement & Automation: Critically evaluate existing billing processes to identify bottlenecks and areas for improvement. Design, develop, and implement automated solutions using Excel, scripting (like Power Automate, Python or VBA), and potentially AI/RPA tools to enhance efficiency, reduce manual effort, and minimize errors.
- System Management and Optimization: Work with billing systems and software (e.g., NetSuite and Transportation Management Systems) to ensure data integrity, troubleshoot issues, and optimize their functionality. Support the implementation of new billing systems or modules.
- Discrepancy Resolution: Investigate and resolve billing discrepancies, customer inquiries, and payment issues in a timely and effective manner.
- Accounts Receivable Monitoring: Work alongside the accounts receivable department to provide support with outstanding invoices and assist with customer account reconciliations.
- Collaboration: Work cross-functionally with finance, accounting, sales, operations, and IT teams to ensure seamless billing operations and address billing-related inquiries.
- Compliance: Ensure billing practices adhere to internal policies, industry regulations (e.g., GAAP), and internal controls.
- SOP Documentation: Create and maintain comprehensive documentation of billing processes, automations, and system configurations.
Requirements:
MINIMUM QUALIFICATIONS AND REQUIREMENTS
- IT Background: A strong understanding of IT principles, data structures, and system integrations.
- An Associate's degree or higher in Accounting, Finance, Business Administration, Computer Science, Information Systems, or a related field is required. Equivalent combinations of education and relevant work experience will also be considered.
- Proficiency in Excel: Advanced Excel skills are essential, including complex formulas, pivot tables, data modeling, and data visualization.
- AI Automation/RPA: Demonstrated experience or understanding of AI automation concepts and Robotic Process Automation (RPA) technologies. This could include experience with specific RPA tools (e.g., UiPath, Automation Anywhere, Blue Prism) or a keen interest in learning and applying them.
- Analytical Skills: Exceptional analytical and problem-solving abilities, with a keen eye for detail and accuracy. Ability to identify trends, analyze large datasets, and translate data into actionable insights.
- Communication Skills: Excellent written and verbal communication skills to effectively interact with various internal and external stakeholders, explain complex data, and document processes.
- Process Improvement Mindset: A proactive approach to identifying areas for improvement and a strong desire to optimize workflows.
- Ability to Work Independently: Capable of working autonomously and managing multiple priorities to meet tight deadlines.
- Experience: 2-5 years of experience in a billing, finance, accounting, IT, or Software development role.
DESIRABLE (BONUS) SKILLS:
- Coding/Scripting: Proficiency in relevant programming or scripting (e.g., Python, VBA for Excel automation, SQL for database querying).
- Experience with specific billing software or ERP systems (e.g., NetSuite, MercuryGate).
- Familiarity with data visualization tools (e.g., Microsoft Power BI).
- Experience with cloud platforms and data warehousing.
- Prior management experience.
