About the Role:

The Benefits Specialist is responsible for the strategic design, implementation, administration, and ongoing evaluation of employee benefits programs, including health insurance, retirement plans, and ancillary benefits. This role ensures all programs are compliant with applicable laws, cost-effective, and aligned with organizational strategy. The Benefits Specialist serves as the key liaison with vendors and internal stakeholders, providing high-level analysis, customer service, and systems oversight.

Key Responsibilities:

  • Research, evaluate, and recommend benefit plan options that balance value, cost-effectiveness, and employee needs.
  • Design and implement new benefits programs. Analyze short- and long-range cost projections and conduct statistical analyses for proposed changes.
  • Conduct market benchmarking and trend forecasting to inform future plan design and ensure competitiveness.
  • Monitor administrative costs and recommend cost containment strategies and funding alternatives.
  • Oversee and document the administration of all benefits programs (e.g., health, dental, vision, retirement, COBRA, etc.), ensuring consistent workflows, efficiency, and compliance.
  • Coordinate day-to-day processing of benefit events including new hire enrollments, life events, terminations, QDROs, QMCSOs, rollovers, distributions, and compliance testing.
  • Ensure adherence to all federal, state, and local laws governing employee benefit plans (e.g., ACA, HIPAA, COBRA, ERISA).
  • Prepare and submit all legally required reporting and filings, such as CMS reporting and other compliance notices.
  • Perform internal audits and prepare data for actuarial evaluations and audits.
  • Act as the primary liaison with benefits vendors, brokers, and third-party administrators.
  • Lead vendor negotiations for benefit plans and services to ensure competitive rates and effective partnerships.
  • Coordinate and audit vendor data transfers and system access to ensure data accuracy, performance, and process integrity.
  • Vet and implement benefits systems, ensuring alignment across HRIS, enrollment platforms, and carrier systems.
  • Analyze and monitor benefits-related expenses, support claim audits, and assist in invoice reconciliation and budget preparation to ensure billing accuracy and cost efficiency.
  • Review and validate monthly carrier invoices and coordinate payments with Finance.
  • Maintain accurate employee benefits records and group benefits databases.
  • Oversee payroll deductions and collaborate with Payroll to ensure accuracy and alignment across systems.
  • Audit and reconcile data between platforms (e.g., UKG, Bswift, carriers).
  • Lead the planning and execution of annual Open Enrollment and related communications.
  • Create and distribute comprehensive materials such as benefits guides, FAQs, SPDs, and compliance notices.
  • Organize and deliver benefits education via orientations, webinars, and Q&A sessions for staff and HR partners.
  • Continuously provide training and ongoing support to HR teams, field staff, and internal stakeholders to promote understanding and effective utilization of benefits.
  • Provide timely and effective support to employees and HR team members on benefits-related questions and concerns.
  • Promote a high-quality customer service experience in all benefits communications and interactions.

Qualifications:

  • Bachelors degree in Human Resources, Business Administration, Finance, or a related field required.
  • Masters degree in HR Management or a related field is a plus.
  • Professional certifications strongly preferred: CEBS (Certified Employee Benefits Specialist). PHR/SPHR (Professional in Human Resources / Senior Professional in Human Resources). SHRM-CP or SHRM-SCP (SHRM Certified Professional / Senior Certified Professional).
  • Minimum of 5 years of progressive experience in employee benefits administration.
  • Experience working with benefits brokers, third-party administrators, and carrier systems.
  • Experience managing benefits in multi-state or multi-entity organizations preferred.
  • Prior experience with benefits platforms (e.g., Bswift, UKG, ADP, Workday, etc.) and HRIS systems.
  • Strong knowledge of U.S. benefits laws and regulations (ERISA, HIPAA, ACA, COBRA, FMLA, etc.).
  • Excellent analytical skills with the ability to interpret data, create reports, and provide strategic insights.
  • Highly organized with strong attention to detail and accuracy.
  • Effective communication and interpersonal skills; able to explain complex benefits information clearly.
  • Proficient in Microsoft Excel, PowerPoint, and other reporting tools.
