The mission of Jazz at Lincoln Center, Inc. (“JALC”) is to entertain, enrich and expand a global community for jazz through performance, education, and advocacy. From college students to young stars, from working professionals to celebrated masters, we present quality jazz for an ever-increasing audience in an unprecedented range of activities and a variety of venues. JALC has created a dynamic platform where our key constituents – jazz artists (beginner to grizzled veteran), fans (casual listeners to advanced scholars), educators (local band leaders to leading artist-educators) and advocates (local community advocates to important national promoters) – can meet, engage, learn, and work towards common objectives.The Assistant Director, Events is responsible for leading and managing a portfolio of events in Frederick P. Rose Hall, Dizzy's Club, private residences, and other venues in support of the Jazz at Lincoln Center Development team. Management includes internal and external communications, drafting and sending invitations, tracking RSVPs, and updating donor records. They are responsible for planning and executing cultivation events in close coordination with multiple stakeholders across the organization. The Assistant Director also works closely with and supports the Director of Events on the annual Gala and other major cultivation events. They interact directly with Jazz at Lincoln Center senior leadership, members of the Board of Directors, and other important donors.Responsibilities
- Partner and collaborate with the Director of Events and other Development team members to plan and successfully execute 30+ events annually, managing a portfolio of events and overseeing the Events Manager's portfolio as well.
- Strategize on different fundraising approaches for the Gala to successfully hit the $3M fundraising goal and support the Director of Events on all planning and execution.
- Build the primary event calendar each season for all Development-related events and work with the Events Manager to maintain and update all ancillary timelines.
- Manage internal communications and tracking for collateral, RSVPs, catering, and production needs with colleagues across the institution including Concerts & Touring, Brand, Sales & Marketing, Frederick P. Rose Hall, Dizzy's Club, and Great Performances, JALC's in-house caterer.
- Compile and manage invitation lists and record attendance in Tessitura.
- Track expenses and manage event budgets.
- Ensure consistent high-quality service and execution standards when working with clients and staff.
- Coordinate special projects for the Leadership team as assigned.
- Oversee Events administrative folders, work with the events team to build Event SOPs, and propose new systems to streamline the event planning process.
- Evening and weekend work required; domestic travel as needed.
QualificationsRequired
- Minimum five years of experience in events management, logistics, and/or project management.
- Proven track record in the planning and execution of a major fundraising event with at least 600 guests.
- Demonstrated success in raising a minimum of $2 million through a single major fundraising event.
- Extremely detail-oriented with deep appreciation for the customer experience.
- Superior written, oral, and interpersonal communication skills.
- Excellent organizational skills and ability to manage multiple projects with frequent and specific deadlines.
- Solid problem-solving skills and sound judgment; ability to pivot at a moment's notice.
- Ability to work under pressure with diplomacy, discretion, and tact.
- Consistently maintains a calm and focused demeanor in high-stakes environments.
- Expertise in list management, including segmentation, tracking, and accuracy.
- Must be willing to work a flexible schedule as determined by event needs.
Preferred
- Bachelor's degree or an equivalent education certification.
- Experience planning nonprofit membership events, particularly in the arts and culture sector.
- Advanced knowledge of Microsoft Word and Excel; proficiency with e-mail marketing programs such as Wordfly.
- Experience with managing and tracking seating for large-scale dinners and theaters.
- Experience with a CRM system; knowledge of Tessitura is ideal.
- Ability to take initiative and work independently.
- A sense of humor is a plus.
- Knowledge of or keen interest in and appreciation of jazz and jazz culture.
