Behind the galleries, our dedicated staff work every day to steward the museum's collection with care, precision, and passion.Who We're Looking ForWe are seeking an experienced and detail-driven Associate Registrar, Database Administration to join our Registration team. This role will serve as the museum's primary administrator for The Museum System (TMS) collections database and will be a key partner in managing collection records, overseeing art movements, facilitating viewings, and coordinating select exhibitions and incoming loans.This is an excellent opportunity for someone who is excited about collections stewardship, passionate about technology's role in museums, and eager to collaborate across departments to support exhibitions, research, and public access.What You'll Do
  • Serve as the lead administrator for TMS, maintaining data standards, managing user support, liaising with Gallery Systems, and supporting ongoing system improvements.
  • Oversee the daily processing of art movement forms, location updates, and viewing requests.
  • Facilitate registration aspects of assigned exhibitions, including shipping logistics, loan agreements, installation planning, and condition reporting.
  • Produce monthly, quarterly, and annual collection statistics and participate in inventory initiatives.
  • Ensure the quality and consistency of data entry and spearhead data cleaning efforts.
  • Support museum departments through reporting, research, and collection care assistance.
What You'll Bring
  • Bachelor's degree in Art History, Museum Studies, or a related field.
  • 3-5 years of experience working with TMS (including database management) and in museum registration, preferably in an art museum environment.
  • Proficiency with Microsoft SQL Server, Crystal Reports, and server management basics.
  • Exceptional attention to detail, strong technical expertise, and a service-focused approach to working with colleagues and external partners.
  • Ability to work collaboratively across departments and communicate clearly and professionally.
