Job Title: Associate Project ManagerLocation: Waltham, MA 02451Duration: 4 Months (possible extension)Pay Rate: $38.00/hour. on W2Shift: Monday – Friday, 8-hour shift (typically 8 AM – 5 PM, flexible)Work Arrangement: Hybrid (in-office Tuesday to Thursday)Position Summary:The Associate Project Manager will coordinate and manage projects from quote acceptance through to experiment initiation, ensuring clear communication and collaboration across internal teams and external customers. This role supports integrated project execution and drives customer satisfaction by managing timelines, documentation, logistics, and stakeholder expectations within a Life Sciences environment.Main Duties and Responsibilities:
- Coordinate projects from “Quote Accepted” to “Experiment Started.”
- Maintain integrated project execution strategies and clear communication with customers, sales teams (BDM/BDS), and internal stakeholders (FAS, DS, Legal).
- Manage and review project paperwork including contracts, statements of work (SOW), sample release documents, and collaborate with Legal for timely processing.
- Oversee study logistics such as quarantine release, project composition, timeline communication, and progress tracking.
- Keep project information current in relevant platforms (Salesforce, LIMS, Kanban, Cloud platforms, etc.).
- Foster positive relationships with customers and internal teams to ensure client satisfaction.
- Participate in cross-functional meetings including Analysis Service, Sales, Global PC, and Customer Care teams.
- Assist in creating SOPs and work instructions related to project coordination under QMS standards.
- Comply with company safety, environmental, quality, and regulatory requirements.
Customer Interaction:
- Understand and meet customer needs throughout the Analysis Service (AS) project lifecycle.
- Participate in study design and final alignment calls; define sample logistics and documentation requirements.
- Coordinate paperwork and sample shipments, support post-analysis sample actions.
- Communicate timelines and deliverables clearly to customers.
Sales & Support Collaboration:
- Engage in sales planning meetings to learn about upcoming projects and pipeline opportunities.
- Coordinate opportunities and share updates with sales teams, tracking projects via Salesforce.
- Support internal project coordination and communication between Analysis Service and customers.
Additional Coordination:
- Support data science involvement when needed in study design and data analysis.
- Assist legal department with contract identification and document control.
- Coordinate data delivery methods and ensure proper notification of customers.
- Support finance with invoicing requests related to projects.
- Facilitate coordination with R&D, PM, PMO, Scientific Affairs, and Marketing teams on sponsored and internal projects.
Required Skills and Experience:
- 3+ years in project coordination or project management, preferably in the Life Sciences field.
- Experience engaging professionally and collaboratively with customers.
- Familiarity with laboratory workflows or service organizations a plus.
- Proficient in Microsoft Office and Salesforce; ability to learn new software/tools.
- Strong presentation, organizational, and communication skills.
- Ability to manage multiple projects simultaneously and adapt to changing priorities.
Qualifications:
- Bachelor's degree in Life Sciences or equivalent experience (additional 4 years experience may substitute degree).
