Position Overview The Rockefeller Foundation is seeking an Associate, Events Management to support the planning and execution of convenings, meetings, and events at the Foundation's New York Headquarters and other designated locations. Reporting to the Director, Events Management, this role is integral to the success of both in-person and virtual convenings. The Associate will coordinate logistics, liaise with internal and external stakeholders, and ensure seamless execution while upholding the Foundation's high event standards. Pay Range: $88,564 - $93,282. This represents the present low and high ends of the Foundation's pay range for this position. Actual pay will vary based on various factors, including but not limited to experience. Work Schedule: This position is 5 days on site, Monday through Friday, with the ability to work a flexible schedule based on event demands. Occasional weekends are required. Principal Duties and ResponsibilitiesEvent Planning & Execution
  • Independently plan and execute Foundation-hosted, co-hosted, and grantee events, including high-level meetings, receptions, and multi-day conferences.
  • Manage logistics such as venue coordination, catering, A/V, digital signage, and compliance with internal policies.
  • Support hybrid and virtual events through Zoom backend management, speaker coordination, and detailed run-of-show documentation.
Stakeholder & Cross-Functional Collaboration
  • Serve as primary liaison between the events team and internal departments (catering, A/V, facilities, security) to ensure seamless execution.
  • Partner with program teams to align event strategy with organizational goals and provide guidance on best practices.
  • Manage vendor relationships, ensuring contract compliance, COI documentation, and accurate recordkeeping.
Event Systems & Operations
  • Maintain organized systems for event documentation, templates, and historical data to support knowledge sharing.
  • Administer Systems for registration, check-in, and attendee tracking to enhance guest experience and operational efficiency.
  • Generate post-event reports and insights to inform strategic improvements and support data-driven decision-making.
  • Assist with budgeting, invoicing, and contract processing.
Event Staffing & Coordination
  • Train and guide internal teams on event roles and responsibilities to ensure smooth execution across venues.
  • Lead or contribute to special projects that enhance event strategy or operations.
  • Work on special projects as requested.
Education, Experience, and Skills
  • Bachelor's degree or equivalent experience in event management, hospitality, or related fields.
  • At least 3-5 years of experience in the hospitality field.
  • Proficiency in event management software (Cvent, Monday.com, Zoom, etc.), Microsoft Office (Excel, Outlook, PowerPoint), and other relevant tools.
  • Strong organizational skills with the ability to multitask, prioritize, and maintain attention to detail in a fast-paced environment.
  • Excellent interpersonal and communication skills with a strong customer service mindset.
