Overview:

The Associate Director, Systems & Process Optimization will oversee and enhance the operational software ecosystem at Western Atlantic University School of Medicine (WAUSM). This individual will be responsible for managing, optimizing, and integrating key platforms, including the Customer Relationship Management (CRM) system, and Student Information System (SIS), ensuring seamless workflow and operational efficiency across departments.

Key Responsibilities:

• Serve as the primary administrator and strategic lead for WAUSM's CRM (Slate) and SIS (Campus Cafe) to ensure they function effectively and align with institutional needs.
• Evaluate system performance, identify areas for improvement, and implement process enhancements to streamline operations.
• Collaborate with Admissions, Student Affairs, Academic Affairs, and IT teams to ensure software solutions support institutional goals and user needs.
• Provide training and technical support to staff and faculty on system functionalities and best practices.
• Collaborate with IT to implement or maintain integrations using APIs or third-party tools.
• Design, manage, and optimize system reports, dashboards, and data exports using SQL, query builders, and platform-specific reporting tools.
• Work with vendors and external partners to troubleshoot issues, manage system updates, and implement new features.
• Ensure data integrity, security, and compliance with institutional policies and industry standards.
• Develop reports and analytics to support decision-making and enhance operational efficiency.

Qualifications:

• Bachelor's degree in Information Systems, Business Administration, or a related field.
• 5+ years of experience in systems management, process optimization, or IT administration within an educational or corporate environment.
• Expertise in CRM and SIS platforms (experience with higher education software is a plus).
• Working knowledge of SQL, database reporting, and query development.
• Awareness of data privacy, role-based access control, and cloud-based infrastructure.
• Strong project management skills with the ability to manage multiple initiatives simultaneously.
• Strong analytical skills with a track record of improving operational workflows.
• Excellent communication and project management skills, with the ability to collaborate across multiple teams.
• Excellent communication, training, and problem-solving skills.
• Ability to work remotely while effectively collaborating with cross-functional teams.
• Ability to travel domestically/internationally as needed (estimated 10-15% travel).

This role reports directly to the Vice President of Development and Enrollment Management and works closely with the Director of IT Services.

Salary commensurate with experience.
