Job SummaryDevelops and implements policies, programs and financial objectives for assigned departments in relation to functions pertaining to transportation, storage, vendor selection, distribution, or inventory control, as well as non-manufacturing operational policies, objectives and initiatives of large and multifaceted areas/departments within the University. Participates in preparing department budgets and in setting department goals. Ensures continuity and quality customer service between University departments and community.The Real Estate Administration department manages ~1M square feet of office, clinical, lab (wet and dry), and vivarium space for University and third-party tenants. This position requires a strong background in building/facility operations, construction and employee relations.ResponsibilitiesEssential Functions

  • Vendor management for facility services such as janitorial, landscaping, security, food services, etc.
  • Manage tenant relations over the Real Estate Administration portfolio including tenant meetings, survey development, website, report, help desk oversight, etc.
  • Research lease terms for managed properties work through others to ensure terms are met.
  • Develop and implement customer service, human resources and financial objectives for assigned departments consistent with the University's goals and objectives.
  • Analyze customer complaints, concerns and suggestions and providing appropriate follow through to ensure superior customer service.
  • Manage departmental budgets, including operating and capital budgets, estimate budgetary requirements for special projects, and oversee purchases and inventory.
  • Administer new and existing department programs and services to internal and external customers.
  • Assume authority and perform functions of the department director in his/her absence.
  • Participate in department HR management including recruitment, performance evaluation and retention of staff.
  • Facilitate cooperative and collaborative relationships with the community and other institutions.
  • Authorize the purchase and implementation of new technology, resources and equipment.
  • Serve as part of the department management team providing leadership and guidance to other departmental employees.
  • Participate in development and interpretation of department policies to ensure compliance with University's policies and regulatory requirements. May authorize exceptions to department policy and procedures related to assigned departments. Ensure compliance with Federal and state regulations.
  • Establish internal objectives and implement procedures to meet goals. Assist in setting department short and long-term goals.
Problem SolvingThe problems and solutions encountered by this position vary depending on the area and structure of the department. This position frequently addresses problematic situations and often acts a mediator or a negotiator. A critical function for this position is drafting, reading, interpreting, and understanding commercial lease agreements, amendments, and addenda, as well as service agreements and contracts. It is crucial that the incumbent applies these skills and abilities to understanding the needs of the customers and determining what actions are appropriate from the Landlord's perspective. The role requires critical thinking, data analysis, financial management, collaboration and communication.CommentsThe incumbent must be proficient in making daily operational decisions.Minimum of five years experience in real estate, facility or property management preferred. Master's degree in Business Administration or related area preferred.Work Environment and Level of Frequency typically requiredNearly Continuously: Office environment.Physical Requirements and Level of Frequency that may be requiredNearly Continuously: Sitting, hearing, listening, and talking.Often: Repetitive hand motion (such as typing), walking.Seldom: Bending, reaching overhead.Minimum QualificationsBachelor's degree in Business or Public Administration, a related area, or equivalency (one year of education can be substituted for two years of related work experience) required; plus six years of progressively more responsible management experience; and demonstrated leadership, human relations and effective communication skills also required. Master's degree in Business Administration or related area preferred. This position is not responsible for providing patient care.
