General Job Description The Associate Director of Operations, Finance, & Analytics plays a critical role in ensuring the safe, efficient, and effective daily operations of Bank Street College's Children's Programs, which include the School for Children, Auxiliary Programs (After School, Camps, and Transportation), Liberty LEADS, and the Family Center. Reporting to and working in close partnership with the Director of Finance, Operations, & Analytics, this position is responsible for overseeing a wide range of operational functions that support the school community. Key responsibilities include supervising a team of divisional and administrative assistants, managing school-wide events and scheduling, coordinating safety procedures such as evacuation and lockdown drills, overseeing daily arrival and dismissal, and managing space planning, facilities coordination, and supply ordering. This role requires strong project management skills, attention to detail, and the ability to proactively create systems that ensure an efficient, responsive, and community-centered school environment. In addition to operations management, the Associate Director of Operations, Finance, & Analytics also contributes to financial processes such as billing and payment tracking across various programs, and supports broader institutional initiatives as needed. This is a 12-month, full-time, in-person position. Core Function and Responsibilities OperationsSupervise a small team of divisional and administrative assistants to support daily operations across children's programs. Ensure accountability and execution of routine school functions with a high level of consistency and responsiveness.Serve as a liaison to parent groups, supporting their logistical needs, including space reservations, communications, and attendance at key community events.Lead the planning and execution of major school events-such as parent-teacher conferences, curriculum shares, potlucks, and graduation-in collaboration with administrative staff.Oversee the coordination and implementation of evacuation and lockdown drills throughout the school year. Ensure that leadership is informed in advance and that drills do not conflict with major events; maintain and update the school's emergency manual.Develop and maintain the annual calendar of events in partnership with school leadership and relevant college-wide stakeholders.Participate as an active member of the Space Planning Committee; coordinate with Facilities, IT, and College Operations on room reservations, event setup, and resolution of space-use conflicts.Manage food and snack program logistics, including oversight of shared kitchen spaces on the C-Level and second floor.Coordinate with the Facilities team to ensure timely response to maintenance needs and building-related issues.Provide backup support for AV setup in the CP auditorium, including sound, lighting, and visuals for school events.Manage arrival and dismissal procedures, including on-site presence, oversight of the NYCDOE bus partnership, and development and implementation of related procedures to ensure safety and efficiency.Partner with part-time staff supervisors, Human Resources, and Payroll to ensure accurate timekeeping and timely compensation for part-time employees.Work in collaboration with the school's Administrative Assistant to manage school supplies, including identifying and replenishing essential materials, reviewing and approving orders (e.g., Amazon), and overseeing advance planning for back-to-school supply needs. Finance, Data, & ReportingPrepare and present reports, data analyses, and visualizations to support compliance with government and association requirements, as well as to inform strategic planning and operational decision-making.Provide ongoing support for institutional data systems, including the Student Information System, Health Information System, and platforms related to auxiliary programs such as After School and Camps.Assist the Director of Finance, Operations, and Analytics with a variety of financial tasks, including budget development and reforecasting, account reconciliation, and financial data analysis.Oversee billing and payment plan administration for school services, including lunch, tuition arrears, after school programs, camps, and other fee-based offerings.Develop and maintain a comprehensive lunch registration and payment tracking system that monitors enrollment, generates invoices, tracks outstanding balances, and ensures accurate record-keeping; serve as the primary contact for Children's Programs faculty and families regarding lunch billing inquiries and issues. Additional Core FunctionsPerform other duties as assigned to support the evolving operational needs of the Children's Programs. Responsibilities may be adjusted based on program priorities, with new tasks added or removed at the discretion of the Director of Finance, Operations, and Analytics.Provide ongoing support to the Director of Finance, Operations, and Analytics in managing cross-functional school needs and institutional initiatives.Actively participate in key meetings, including bi-weekly Children's Programs Leadership meetings, weekly full faculty meetings, and other relevant staff gatherings.Lead and/or contribute to special projects as needed. Past projects have included updating emergency preparedness protocols, digitizing archival student records, and managing off-site storage logistics.RequirementsDemonstrate a strong commitment to school community engagement by participating in events and programs. This may include coaching after school sports, chaperoning overnight trips, assisting with school-wide events, or teaching enrichment classes. Requirements:Bachelor's degree required; Master's degree in education, finance, technology, or a related field preferredProven experience supervising or managing teams focused on developing and implementing systems that improve operational efficiencyDemonstrated ability to communicate clearly and effectively with diverse audiences, including the capacity to influence and collaborate with stakeholders across roles and departmentsStrong project management skills with the ability to prioritize competing demands and consistently follow through on deliverablesAdvanced data management skills, including the ability to interpret and explain technical information to non-technical usersExperience with data analysis and visualization tools (e.g., Excel, Google Sheets, Tableau, or similar platforms)Strategic and resourceful problem-solver with a proactive approach to identifying best practices and driving operational improvementsHigh level of technological fluency and a willingness to learn and adapt to new platforms and systemsStrong commitment to customer service and responsiveness to faculty, families, and staffFamiliarity with Blackbaud Education Management Products is highly desirableProficiency with Microsoft Office Suite, Google Workspace, Zoom, and other data and communication toolsExperience working in a PK-8 educational environment is a strong plus ABOUT US Bank Street is a leader in education, a pioneer in improving the quality of classroom practice, and a national advocate for children and their families.Since its beginnings in 1916, Bank Street has been at the forefront of understanding how children learn and grow.
