Job Summary

The Associate Director for Student Affairs provides direction, leadership and oversight of the College of Osteopathic Medicine of the Pacific, Office of Student Affairs. Position incumbent is expected to engage with and monitor all aspects of the day-to-day operations of the Office of Student Affairs and ensure continual quality improvement of services. This role additionally provides primary leadership for the COMLEX scheduling process for new and repeat test takers.

  • Must be a self-assured, experienced leader who is able to anticipate potential problems and initiate solutions in concert with the Associate Dean of Student Affairs, COMP .
  • Ability to effectively manage budgets and meet budget expectations, compose non-routine correspondence on own initiative, and coordinate, prioritize and lead projects and meetings.
  • Ability to manage a crisis and calm upset individuals and be able to handle sensitive conversations such as suicidal ideation, death in the family, alcoholism, drug abuse etc.
  • Must be detail oriented, with strong organizational skills.
  • Able to work in a fast-paced environment and be flexible in job assignments and work hours.

  • Excellent computer skills necessary to utilize Word, Excel, PowerPoint, Microsoft Teams, Microsoft Planner, and Qualtrics, and the ability to seek out and adapt to new technologies relevant to the position.
  • Skill with scanner, copier, printer, telephone operation, and the ability to type at 55+ words per minute.
Required Qualifications
  • Education: Bachelor's degree or equivalent training or experience which provides the required knowledge, skills, and abilities needed for the position.
  • Experience: Five or more years of Student Affairs experience at a large institution.
Preferred Qualifications

Key Responsibilities

  • Supervise all non-exempt and temporary staff members in the COMP Office of Student Affairs ( OSA ). Direct the day-to-day operations of the OSA ; approve timecards/vacation, run weekly team meetings, and one-on-one weekly staff check-ins, triage daily and ensure timely completion of TDX tickets/Microsoft Planner tasks, and create and implement staff on-campus schedule.
    • Prepare and provide a concise/detailed update to the Associate Dean of Student Affairs weekly regarding daily OSA operations and confirming that TDX tickets and Microsoft Planner tasks are consistently being addressed within 2 workdays or by the deadline.
    • Ensure staff prepare status change return forms according to policy and reconcile registrar's status change reports monthly.

  • Lead the implementation and assessment of all Welcome Week and Touchpoint events using Microsoft Planner as a guide.

  • Manage processes surrounding COMLEX registration, deadlines, and failures; send reminders about late registration/off-track deadlines, submit Student Performance Committee ( SPC ) referrals for students who fail COMLEX and TDX tickets for students who pass after a previous failure. Ensure medical documentation supporting exam delays and clearance to return are properly filed and that the Students in Greatest Need ( SIGN ) and Master Status Change Tracking spreadsheets are up to date prior to the weekly meeting.

  • Lead and actively manage the Success Planning Meeting process. This includes leading student meetings, ensuring all team members complete their meetings in a timely manner, closing out completed forms, leading assessment and annual improvements to forms, and referral of students to Dean of Students as needed.

  • Routinely use research best practices to assess the effectiveness of student services and student needs and propose changes to support continual quality improvement of OSA services.

  • Serve as the Pomona-based Office of Student Affairs representative on the Awards Committee, Events Team, and Student Leader Conference Funding Committee.

  • Serve as backup to Associate Dean for Student Affairs when unavailable. Responsibilities include problem-solving student matters and after-hours concerns.

  • Prepare budgetary recommendations to COMP administration and ensure adherence to budget.

  • Prepare LOA Return Plans with the Office of Academic Affairs, meet with students to discuss drafts, and ensures appropriate departments receive a copy of the final plan.
