The Assistant Director of Human Resources supports the mission of St. John's Prep by helping to build a workplace culture rooted in the Xaverian spiritual values of compassion, trust, zeal, and simplicity. This role contributes to the school's mission to educate the whole person by managing key HR functions for employees, including payroll, benefits, onboarding, off-boarding, and wellness initiatives. The Assistant Director works closely with the Assistant Head of School for Human Resources on projects that promote employee well-being, professional growth, and community. This position is a full time position, year round and in person.Essential Job Duties and Responsibilities

  • Manages the new hire onboarding process and the employee off-boarding process.
  • Manages the annual open enrollment process via Paylocity for all benefit plans.
  • Collaborate with the Assistant Head of School for Human Resources on wellness initiatives.
  • Maintains personnel files of approximately 250-270 full-time employees and 150-200 part-time/seasonal employees in compliance with applicable legal requirements.
  • Assists employees regarding their payroll and benefits questions as well as employment verification requests.
  • Ensures that all benefit changes, life changes, and COBRA events are sent and processed to benefit carriers.
  • Ensures the accuracy of all benefits enrollments in Paylocity to provide vendors with accurate eligibility information.
  • Serve as primary contact for plan vendors and third-party administrators.
  • Manage and process payroll via Paylocity and ensure that timesheets are reviewed for accuracy and approved by managers on a bi-weekly basis.
  • Confirm payroll liabilities by reviewing the calculation of employee federal and state income and social security taxes, and employer's social security tax.
  • Balance the payroll accounts monthly by resolving payroll discrepancies (labor distribution, liability accounts, payroll tax expense, and benefits).
  • Support the Assistant Head of School for Human Resources with payroll guidelines by reviewing, discussing, and updating policies and procedures.
  • Assist Assistant Head of School for Human Resources with various training, research projects, and/or special projects.
  • Comply with and stay abreast of federal, state, and local legal requirements, including FMLA, MA, PFML, COBRA, etc.
  • Maintain employee confidence and protect payroll operations by keeping information confidential.
  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and/or participating in professional societies.
  • Support with end-of-year schedule preparation (July) and participate in the annual audit (August).
  • Prepare reports and accounting tasks as needed
  • Perform other duties as assigned, including providing coverage for the accounts payable process.
Requirements

Education and Experience

  • Bachelor's degree in human resources or accounting is preferred, and/or 5 or more years of equivalent work experience.

Skills and Competencies

  • Financial skills and knowledge of accounting and budget principles are required.
  • Excellent verbal and written communication skills.
  • Strong Google Suite and Microsoft Office skills are crucial. Proven ability to utilize and develop spreadsheets.
  • Experience with Paylocity (including HRIS) and Blackbaud is preferred but not required.
  • Must be attentive to detail. Accurate and timely data entry and reporting skills.
  • Prior knowledge of compensation and wage structure, employment law, and benefits administration is preferred.
  • Ability to organize workload, multi-task, adapt quickly to change, and deliver under the pressure of deadlines.
  • Additional work time may be required during peak periods and audit time.
  • Ability to develop and maintain cooperative working relationships
