A typical workday may include:
- Assist court clerk with the daily, monthly, and yearly workflow of cases, citations, and criminal complaints filed with the citys municipal court and ensure that all records of the court are accurately maintained according to proper procedures.
- Help and provide information to the public; answer telephone and assist the public at the counter; explain department and city policies/procedures as required.
- Maintain the confidentiality of highly sensitive information.
- Maintain file accuracy in a variety of locations, paying special attention to detail.
- Issue notices to those ordered to appear.
- Receive payments on fines; issue receipts and prepare bank deposits for all money received by the court. Enter data in computer systems.
- Accurately record court dispositions and case updates.
- Receive citations, warrants, bonds, and additional defendant documents.
- Review electronic documents in the court records management system for accuracy and make corrections as needed.
- Create files and court dockets for each case and ensure all required documentation is received and accurately.
- Research case information is needed to ensure accurate case payments, documentation, and file completion.
- Coordinate with safety officers for trial scheduling and filing documents.
- Attend court sessions, serve as court reporter, assist judge and coordinates courtroom activity.
- Perform a variety of administrative functions including, but not limited to, processing letters, correspondence, legal motions and documents, memos, minutes, reports, citation dispositions, forms, and other documents. Maintain logs, scan and file records.
- Copy and release requested reports as appropriate in compliance with established confidentiality rules and regulations; collect appropriate fees.
Peripheral duties:
- Assist the court clerk with other related duties deemed necessary or as assigned.
- Attend training as required. Abide by all standards, conduct, and policies, as stated in the employee handbook and safety department rules & regulations.
Skills and abilities with or without reasonable accommodations:
- Physical: Ability to type accurately at a rate required for successful job performance. Ability to operate standard office equipment/machines such as a copier, calculator, computer, and phone as required by assignment. Inside work environment requiring use of eyes and typing dexterity.
