Position Summary

Forum Mobility is seeking a highly organized and detail-oriented Asset Manager to support the ongoing management of contracts, regulatory reporting, and cross-functional documentation. This individual will oversee and maintain the firm's Asset Management Tool, ensure data accuracy, document integrity, and timely compliance tracking across all assets. The ideal candidate is a structured thinker, tech-savvy, and thrives in a dynamic, fast-paced environment that spans legal, operations, and finance

Key Responsibilities

Contract and Documentation Management

  • Maintain contracts, permits, insurance certificates, and compliance documents.
  • Track key contractual milestones (renewals, expirations, notice periods).
  • Coordinate with legal and third-party counsel to ensure accurate execution and secure archiving of agreements.
  • Ensure required notice, filings, audits, or certifications are submitted and archived.

Compliance Management and Team Coordination

  • Maintain comprehensive reporting calendars to ensure on-time delivery of all internal and external obligations for project contracts, grants and agreements.
  • Maintain recurring compliance tasks and alerts for audits, renewals, and inspections.
  • Monitor and flag upcoming compliance requirements and reporting deadlines.
  • Be the program manager between Finance, Grants, Legal, and Operations teams.
  • Facilitate check-ins and track open items related to reporting and compliance.
  • Implement trackers, and workflows to improve transparency and accountability.

Asset Management Tool Administration

  • Act as the administrator for the company's asset management platform.
  • Conduct reviews to identify missing, outdated, or misfiled items in the system.

Investor and Grants Reporting Support

  • Lead the submission of grant reporting requirements; liaise with cross-functional teams to gather data and narratives in alignment with grant deliverables.
  • Assist with investor data rooms and compiling information for audits or due diligence.
  • Support investor relations by responding to ESG-related reporting requirements.

Qualifications

  • Bachelor's degree in Operations, Business, Legal Studies, or related field.
  • 1–3 years of experience in asset management, legal operations, or project coordination.
  • Strong organizational skills with a passion for process improvement and systems.
  • Familiarity with document management systems, databases, or asset lifecycle tools.
  • Clear communicator with the ability to follow up effectively across teams.

Preferred Qualifications

  • Previous experience managing digital platforms (e.g. ERP, or asset tracking software).

Compensation: $90,000 to $120,000 per year
