Position Summary Under the supervision of the Aquatics Director, the Aquatics Program Coordinator oversees aquatics programs, including staff management, swim lessons, and swim team operations. This position ensures a safe and effective aquatic environment by supervising instructors and coordinating groups, swim teams, and private lessons. The Aquatics Program Coordinator organizes regular staff training and conducts in-service sessions to maintain high standards of safety and program quality. Weekly responsibilities are approximately divided between 20 hours of direct service and 20 hours dedicated to administrative tasks or special projects. Availability:
  • Tuesday- Saturday Schedule
  • Tuesday & Thursday reflecting a 11am-7:30pm workday
  • Saturday reflecting an 8:15-4:45pm workday
Job Responsibilities Staff Management and Development
  • Recruiting, hiring, training, and scheduling swim instructors, lead instructors, and coaches
  • Reviewing staff performance and providing coaching and feedback
  • Developing strategies to motivate and guide teams toward meeting goals
  • Ensuring staff certifications are current and providing ongoing training
  • Mentoring and supporting staff development through regular feedback
Program Supervision and Quality Control
  • Overseeing aquatic programs, including group and private lessons
  • Ensuring swim lessons meet branch objectives and adhere to Y standards
  • Monitoring and managing swim lesson rosters and accurate data entry
  • Maintaining program quality and addressing areas for improvement promptly
Customer Service and Participant Engagement
  • Delivering excellent service to program participants and engaging with Y members
  • Managing communication with families and participants regarding swim lessons
  • Ensuring a positive experience and maintaining composure in high-pressure situations
Scheduling and Coverage Management
  • Approving and adjusting swim instructor schedules to ensure program coverage
  • Providing coverage for swim instructors and lifeguards as needed
  • Coordinating with the Aquatics Director for operational needs
Marketing and Community Relations
  • Building relationships with community partners, such as childcare centers and schools
  • Updating marketing materials and managing the pool schedule (both online and paper)
  • Supporting volunteer recruitment for the Annual Giving Campaign
  • Helping organize events like Safety Around Water week and summer splash camps
Financial Oversight and Strategy
  • Monitoring swim lesson revenue and expenses with the Aquatics Director
  • Implementing financial strategies to align with program objectives
  • Using participant feedback to evaluate and improve programs
Training and Safety Compliance
  • Leading staff meetings and training sessions
  • Organizing and leading at least four annual Swim Lesson Instructor courses
  • Educating staff on Aquatics Safety Policies and Procedures
  • Ensuring compliance with safety policies in collaboration with safety and program directors
Operational Flexibility and Coverage
  • Providing coverage for lifeguarding or swim instructing as needed
  • Ensuring availability during mornings, evenings, and weekends based on program or facility needs
Work Environment & Physical Demands The Aquatics Program Coordinator works primarily indoors within the pool area, with occasional outdoor responsibilities depending on program needs. The role involves spending considerable time near or in the water and may require exposure to varying temperatures and humidity levels associated with aquatic environments. The coordinator is expected to manage administrative tasks such as scheduling shifts, maintaining accurate program records, and coordinating staffing needs, all while maintaining excellent customer service in a fast-paced setting. Flexibility is required, as the schedule may include evenings, weekends, and occasional outdoor activities. The physical demands of this role include standing, walking, and moving around the pool area and office for extended periods, lift up to 50 lbs., assisting with setting up or moving equipment, and demonstrating swimming techniques. The coordinator must possess quick reflexes and the ability to respond effectively to emergencies in and around the water. Additionally, the coordinator must maintain focus in a fast-paced environment while providing excellent customer service. Disclaimers

Salary Description The Aquatics Program Coordinator position offers a compensation range of $28.00 - $33.00 per hour. This rate is based on salary benchmarking for similar roles and is aligned with grant fund approvals and requirements for the position.Qualifications
  • High school diploma or equivalent.
  • 1+ year of experience as a swim instructor and/or lifeguard.
  • 1+ year of experience supervising and leading teams.
  • Availability to work mornings, afternoons, evenings, and weekends.
  • Basic proficiency with computer applications, including Microsoft Outlook, Word, Excel, and Google Drive.
  • Current certifications in CPR/AED, First Aid, Oxygen Administration, YMCA Swim Lesson Instructor and YMCA Swim Lesson Instructor Trainer.
Preferred Qualifications
  • 2+ years of supervising and leading teams.
  • Strong background in aquatics and leadership.
  • Bilingual in Spanish, Cantonese, Mandarin or other languages.
