Position Description:
Chintimini Kennel Club is seeking a professional and organized Appointment Setter to join our client-facing team. In this key role, you will be the first point of contact for potential clients, assisting them through live chat, email, and phone, and scheduling appointments with our training, boarding, or service teams. Your contributions will support smooth client communication and help ensure a seamless customer experience within the club.
This role requires strong communication skills, attention to detail, and the ability to manage multiple client interactions in a fast-paced environment. You will be vital in representing the welcoming and supportive culture that defines Chintimini Kennel Club.
Key ResponsibilitiesLive Chat & Client CommunicationRespond promptly and professionally to live chat, email, and phone inquiries from new and existing clients.
Provide accurate information regarding services, class schedules, pricing, kennel policies, and event details.
Assist clients with navigating our website or booking platform.
Log all interactions into our system for documentation and follow-up.
Appointment SchedulingSchedule appointments and consultations for training sessions, boarding check-ins, and club services.
Coordinate with internal team calendars to prevent scheduling conflicts.
Send appointment confirmations and reminders via text, email, or phone.
Follow up with clients to reschedule missed appointments and prepare them for upcoming sessions.
Client Engagement & SupportFollow up with clients post-interaction to ensure satisfaction and offer further assistance.
Direct inquiries to the appropriate department (e.g., trainers, event coordinators, membership services).
Build positive rapport with pet owners and club members by offering knowledgeable, courteous support.
Data Management & Administrative TasksEnter and maintain accurate client and appointment information in the CRM system.
Track communication history, update client profiles, and share necessary information with team members.
Assist in maintaining up-to-date records for program enrollments and service requests.
Team CollaborationWork closely with training staff, customer support, and event coordinators to ensure all client needs are met.
Attend team meetings and provide input on improving client engagement and scheduling efficiency.
Qualifications & RequirementsPrior experience in appointment setting, customer service, or administrative support is preferred.
Excellent verbal and written communication skills with a warm, professional tone.
Strong organizational and multitasking abilities; able to manage multiple appointments and follow-ups.
Detail-oriented and capable of maintaining accurate records and schedules.
Comfortable using scheduling software, CRM platforms, and communication tools.
