We are seeking a highly motivated and forward-thinking AI Coordinator to join our dynamic team. This pivotal new role will be responsible for spearheading the identification, evaluation, and implementation of artificial intelligence solutions across a collective of creative services agencies. We are looking for someone to implement off-the-shelf tools to improve our current systems. Functioning in a shared services environment, this role handles a variety of tasks while collaborating with different personalities across multiple companies and disparate systems. This is a hybrid role requiring three days per week in our St. Louis office and two days per week working remotely. The AI Coordinator will be the internal expert and evangelist for AI, working collaboratively across all core business functions and workflows to implement artificial intelligence and automation solutions that will enhance efficiency and effectiveness, personalize customer experiences, optimize campaign outcomes, and unlock new revenue opportunities. This role requires a unique blend of technical understanding, strategic thinking, and a deep appreciation for the nuances of live events, communications, brand strategy, marketing, storytelling, and content creation. The ideal candidate will be a proactive problem-solver and collaborator with a passion for leveraging technology to transform business processes. Key Responsibilities: Opportunity Identification:
- Conduct comprehensive audits of current workflows (e.g., lead generation, marketing, research/strategy, content creation, campaign management, customer service, project management/production, financial planning and analysis, etc.) to pinpoint areas where AI can deliver significant value.
- Research and stay abreast of the latest AI advancements, tools, and best practices relevant to the live event, marketing and communications industries, particularly focusing on generative AI (like Gemini), predictive analytics, and automation.
- Collaborate with Marketing, Sales, Operations, Finance, Creative, and Production teams to understand their challenges and ideate AI-driven solutions.
Solution Evaluation & Selection:
- Assess the feasibility, cost-effectiveness, and potential ROI of various AI tools and platforms (e.g., AI-powered CRMs, marketing automation platforms, content generation tools, virtual assistants, data analysis software, media monitoring AI).
- Conduct pilot programs and proof-of-concepts for selected AI technologies, documenting results and gathering feedback.
- Develop comprehensive proposals for AI integration, including vendor recommendations, implementation timelines, and resource requirements.
Implementation & Integration:
- Lead or support the integration of chosen AI tools into existing technology stacks and workflows, working closely with IT/tech partners and vendors.
- Configure and customize AI platforms to meet specific marketing, communications, and event marketing needs and business objectives.
- Develop and manage prompt libraries and best practices for internal use of generative AI tools.
- Ensure data privacy, security, and ethical AI practices are maintained throughout all implementations.
Training & Adoption:
- Develop and deliver training programs and workshops to educate staff across departments on the effective and responsible use of AI tools.
- Act as an internal consultant and subject matter expert, providing ongoing support and guidance to teams integrating AI into their daily tasks.
- Champion a culture of innovation and data-driven decision-making throughout the organization.
Performance Monitoring & Optimization:
- Establish key performance indicators (KPIs) for AI initiatives and regularly track their impact on efficiency, customer engagement, marketing/communications, and event ROI.
- Continuously monitor AI system performance, troubleshoot issues, and identify opportunities for optimization and improvement.
- Provide regular reports and insights to senior leadership on AI project status and strategic impact.
Qualifications: Education:
- Bachelor's degree in Marketing, Business Administration, Computer Science, Data Science, Information Technology, or a related field.

Experience:
- 3-5 years of professional experience, with at least 1-2 years directly involved in AI/ML projects, technology implementation, or data analysis roles.
- Experience in marketing, communications, or event marketing is highly preferred, demonstrating an understanding of the industry's unique challenges.
- Demonstrated experience with various AI tools and platforms (e.g., large language models like Gemini, ChatGPT, Claude; marketing automation AI; CRM AI features; data visualization tools).
Technical Skills:
- Familiarity with prompt engineering and the capabilities/limitations of generative AI models.
- Basic understanding of data analysis techniques and tools (e.g., Excel, SQL, BI dashboards).
- Comfortable learning and adapting to new software and cloud-based platforms.
- (Bonus) Familiarity with API integrations, low-code/no-code automation tools, or scripting languages (e.g., Python) for data manipulation or automation.
Soft Skills:
- Exceptional analytical and problem-solving abilities.
- Strong communication (written and verbal) and presentation skills, able to explain complex technical concepts to non-technical audiences.
