We're looking for a skilled Office Administrator to join our Aging Services team! This position works in a fun, team-oriented environment and every day brings something new! Performs difficult skilled administrative support work assisting with a variety of complex office assistance and administrative tasks, providing primary administrative support in Aging Services including but not limited to preparing and maintaining detailed, complex and/or confidential records and files, preparing complex and specialized reports, assisting the public and performing related work as apparent or assigned. Work is performed under the limited supervision of the Aging Services Director. Essential Functions
  • Coordinates and manages the administrative functions within Aging Services;
  • Processes accounts payable, receivables, deposits, budgetary, and other financial data, as well as codes invoices;
  • Serves as lead purchasing agent for the department by placing orders and obtaining quotes when needed;
  • Enters and maintains requisitions and purchase orders for the Aging Services Department;
  • Gathers and reviews purchasing card reconciliation forms for accuracy for the department;
  • Completes payroll batches and submits to the Finance Office;
  • Works closely with Finance and the County Manager's Office to ensure departmental functions are performed satisfactorily and in a timely manner;
  • Assists with monthly data entry into the Aging Resources Management System (ARMS) on behalf of the Department as needed or as requested by the department director;
  • Answers routine correspondence independently;
  • Schedules and coordinates meetings, appointments, conferences, etc., makes travel and lodging arrangements;
  • Prepares and maintains a variety of office files, accounts, and other complex and specialized records and compiles information and verifies data;
  • Assists the department director and deputy director with the preparation of the departmental budget;
  • Operates a variety of standard office equipment;
  • Performs other duties as assigned.
Minimum Qualifications Associate's degree with coursework in business administration or a related field and moderate experience in administrative support and office operations, or an equivalent combination of education and experience. Knowledge, Skills, and Abilities
  • Comprehensive knowledge of the organization and functions of the department and of general administrative policies and practices;
  • Comprehensive knowledge of standard office practices, procedures, equipment, and office support techniques;
  • Comprehensive knowledge of business English, spelling, and arithmetic;
  • Ability to read, understand, and interpret difficult materials with complicated information that may contain excerpts from regulatory and/or legal documents;
  • Ability to keep office records and to prepare accurate reports from file sources;
  • Ability to perform and organize work independently;
  • Ability to prepare effective correspondence on routine matters and to perform office management details without referral to supervisor;
  • Ability to operate standard office and computer equipment including the ability to operate specialized software;
  • Ability to establish and maintain effective working relationships with associates and the general public;
  • Ability to work with a diverse group of individuals and provide equitable treatment to all;
Physical Requirements This work requires the frequent exertion of up to 10 pounds of force and occasional exertion of up to 25 pounds of force; work regularly requires sitting, speaking, hearing, use of hands and fingers, handling, feeling, reaching with hand and arms and repetitive motions, frequently requires walking and occasionally requires standing, stooping, kneeling, crouching, crawling, pushing, pulling and lifting; work has standard vision requirements; work requires vocal communication to express or exchange ideas by means of spoken word; work requires hearing to perceive information at normal spoken levels; work requires preparing and analyzing written or computer data, using measuring devices, operating motor vehicles or equipment and observing general surroundings and activities; work occasionally requires exposure to outdoor weather conditions; work is generally in a moderately quiet location (e.g. business office). Special Requirements Must possess a valid North Carolina driver's license.
