Job Description :

The Title Agent is responsible to coordinate, prepare and handle Title Services requests including, but not limited, to resales, name changes, gift transfers, inventory recovery-Transitions program, title searches and cancelations.

  • Possess/achieve in depth knowledge of timeshare documents and all aspects of the title business.
  • Prepares deeds and other necessary paperwork to ensure contract is properly capturing requested transaction.
  • Creates and opens new contract files in systems and/or inputs, updates and maintain spreadsheets to track all activity.
  • Responsible to verify accuracy of documents, including finance, recordable and title prepared and delivered to owners (via DocuSign, FedEx or USPS)
  • Conducts title searches for clear title, resolves title defects, and satisfies existing liens against property or principals.
  • Coordinate processing of payments to ensure proper disbursement of funds to Buyer and Seller
  • Maintains and tracks contract file/documents to ensure accuracy, signatures and audits all documents for accuracy and compliance prior to closings.
  • Reviews and tracks all completed documents including cancellations once documents are returned to ensure clear title prior to recording.
  • Coordinates and processes all mailings.
  • Communicates with owners and vendors regarding recovery matters.
  • Reviews and gathers necessary information related to the recovery process.
  • Audits pertinent information to ensure compliance of document files follow underwriting guidelines and title requirements.
  • Proficiently handle high transaction volume and deliver tasks within strict deadlines in a fast paced, high pressure environment.
  • Provide exceptional customer service journey throughout Title process to all stakeholders.
  • Provide high production totals while maintaining a low error percent margin.
  • Must be a committed and dependable team player.
  • Completes closing by recording and filing documents, preparing, and distributing final closing statements.
  • Responsible for coordination in corrections, adjustments, and modifications to contract documentation and payments as necessary.
  • Interacts with pertinent personnel and departments to process contracts through verification and posting to computer system as owners.
  • Assists with processing cancellations on a monthly or on an as needed basis.
  • Responsible for escrow related functions as needed to comply with regulatory requirements and as needed by management or other internal customers.
  • Establishes escrow account by depositing funds and maintaining records.
  • Review and audit all deeds before sending to the various counties for recording.
  • Track all issues found with recording packets and manages resolution in a timely manner.
  • Collaborates with review, audit, and mail out of title policies for all resales and developer sales.
  • Completes all required Company trainings and compliance courses as assigned.
  • Carry out any reasonable request by management of which the employee is capable of performing.

Required Qualifications:

  • Must possess excellent organizational skills
  • Must have good written, verbal & communication skills
  • Ability to multi-task and work well under pressure
  • Enthusiastic team player attitude
  • Must have MS Excel experience with creating and maintaining spreadsheets
  • 3-5 years of experience

Preferred Qualifications:

  • Previous timeshare experience a plus
  • Knowledge of the documents required for a timeshare closing
  • Excel experience a plus
  • Streamline and Simplifile experience a plus
  • Notary Public
  • 5-7 years of experience
