Job Description This role provides strong office support for the School of Musical Theatre in the following areas: Recruitment and Admissions, Marketing and Publicity, and Student services. The school requires a highly selective, robust Recruitment plan that is complex and time-consuming. It involves marketing of the School of Musical Theatre and the University of Oklahoma as well as excellent and frequent communications, audition planning, callbacks, and several instances of face-to-face assessment by the faculty of potential students. This role assists in every aspect of this process. Marketing is primarily geared to prospective students and industry stakeholders. Additional duties include liaison for student activities, event planning, and support of OU Musical Theatre curriculum and programming. Job duties include: ADMISSIONS/RECRUITMENT Responsibilities
  • Primary liaison for prospective students
  • Conduct year-round information meetings with visiting families and prospective students
  • With the Director, coordinate, host, and curate on-campus program auditions. Create student schedules and information sharing - both on campus and nationally.
  • With the Director, coordinate all national auditions for the program, recruitment scheduling, recruitment travel arrangements and payments, serving as point-of-contact to various recruitment partners.
  • Offer summer communication and support to the incoming freshmen class and families regarding OU timeline and Fine Arts requirements and admissions checklist.
  • Serve as a liaison to the OU Office of Admissions and Recruitment (OAR) for prospective students and incoming freshman. Collaborate with OAR efforts in marketing and recruitment.
  • Create final spring campus visit itineraries for students admitted into the program
  • Support advising practices for all Musical Theatre students.
  • Collaborate with Acceptd teams and assist in the annual reset of our OUMT audition portal on this website. We use this platform for scheduling auditions, maintaining good communication with prospective students about callbacks, and decision days.
  • Coordinate Preview Day events.
  • Manage recruiting budget, reconcile travel receipts for faculty, and create an annual expense report
DEPARTMENT MARKETING and PUBLICITY Create marketing pieces, recruitment materials, visual aids, and plans - both virtual and hard copy. Consider budgetary priorities and long-range goals when executing on-going graphic/PR efforts.
  • Graphic Design
    • Create Production Imagery - logos, photographs, and highlight reels for promotional materials.
    • Maintain/update all OUMT promotional materials, information packets, swag
    • Create ads for Playbill-style programs as well as department Press Releases
    • Create promotional reels and messaging for TV monitors throughout Carpenter Hall
  • Marketing
    • Social Media: Create and manage content for OU Musical Theatre Facebook and Instagram accounts. Focus on:
      • Student work and alumni success
      • Faculty work
      • Guest Artist Residencies - publicity
      • Current student activities (classes, rehearsals, shows, takeovers)
      • New Class announcements and celebrations
      • Senior Showcase marketing
    • External Relations - Local, Regional, National partnerships
    • Maintain the school website - content, updates, revisions.
    • Liaison to OU Marketing Team as well as College of Fine Arts Marketing and Publicity
    • Upkeep of alumni (and faculty) headshot/bios and promotion
    • Advertising - Local and national
STUDENT SERVICES AND GENERAL DEPARTMENT SUPPORT
  • ADVISING: Coordinate with Dean's office for advising.
  • Provide enrollment overrides and assistance to OUMT students
  • Organize and plan Freshmen Orientation/Welcome Day for new students.
  • Assist director on external facing issues and prospective student strategy.
  • Contribute to a positive culture within program with an eye towards customer service.
  • Answer all inquiries via the website directed to OU Musical Theatre
Job Requirements Required Education and Experience: Bachelor's Degree, AND:
  • 12 months of related experience
Equivalency/Substitution: Will accept 48 months of related experience in lieu of the Bachelor's degree for a total of 60 months of related experience. Skills:
  • Ability to speak, read and write clear, concise English
  • Composition and proofreading skills
  • Proficiency in Microsoft Office & Adobe Acrobat
  • Social and Emotional Intelligence
  • Highly organized with the ability to handle multiple projects and deadlines, a conscientious self-starter
  • Event Planning
  • A self-starter on long-range projects, working to completion with excellence and reliability and a focus on customer service.
  • Able to communicate well and build rapport quickly with students, faculty and staff
  • Graphic Design skills with an artistic aesthetic
  • Canva, Photoshop, Photography, and Video-editing skills, a plus.
Working Conditions:
  • Physical: Ability to bend, lift, stoop and carry. Ability to engage in repetitive motions.
  • Environmental: Standard office environment. Frequent exposure to pressure caused by deadlines and busy periods. May be required to travel. Ability to work effectively with a wide range of constituencies. Requires contact with other departments and university officials. Willingness to work extended and weekend hours during peak periods.
