The Admissions Processor position provides exemplary customer service to prospective students, staff, and faculty to support the enrollment goals of VCU. This position will serve as part of a team of undergraduate Admissions Processors in the VCU Office of Admissions.
Core Responsibilities: Communication and Customer Service (35%):
- Promote a culture of excellence, efficiency, and commitment by communicating with and responding in a timely manner to prospective students, faculty, and staff.
- Respond to inquiries and questions from admissions applicants, typically within 24 hours, to ensure applicants submit required admissions documentation. Proactively inform applicants of missing application materials.
- Listen to and anticipate customer needs, provide clear and accurate explanations promptly in a professional and courteous manner to current and prospective undergraduate students (who contact the office in-person, by phone, or by email) on their application status and progress with appropriate documentation. May provide initial information on admissions, residency, registration, financial aid, housing, and billing procedures in compliance with University and SEMSS guidelines.
- Resolve any outstanding admissions issues within 5 business days, escalating to supervisor if necessary. Provides necessary follow up information (or referral) for special cases.
- Understand FERPA requirements as it relates to inquiries and responding to questions by observing confidentiality.
Application Processing (35%):
- Manage assigned undergraduate admission caseload efficiently which includes reviewing and determining residency (domicile) status, informing applicants of any needed documentation to determine eligibility, verifying admission requirements are met, and application is ready for decision. Process undergraduate applications in Slate within the designated timeframe provided by the supervisor.
- Verify accuracy of data in student information systems for admissions applicants by working edit reports and updating the student information system with correct information. Research solutions to issues with applications.
Admissions Decision Processing (15%):
- Accurately review and evaluate targeted admission applications and submitted application materials in a timely manner to determine their admissibility to the university based on established criteria for admission.
- Enter admissions decisions and process change of major requests received from applicants. Processes undergraduate applications and enters admission decisions within the designated decision timeframe.
Other (15%):
- Non-routine projects, such as providing division-wide support to other SEMSS offices during peak times, which may require overtime and weekend work.
- Participate in cross training with admissions and division staff on selected projects.
- Complete assigned special projects as required or perform other tasks as assigned by the current supervisor.
- Attend VCU events such as Open House and Preview Days.
QualificationsMinimum Qualifications:
- High school diploma or GED.
- Exceptional computer, verbal and written communication, customer service, problem solving, and organizational skills.
- Ability to follow University, State, and SEMSS policies and procedures.
- Ability to positively and effectively communicate with varying groups including prospective students, parents, and families.
- Ability to work with limited supervision and as a team.
- Ability to work in a fast paced, high stress environment.
- Ability to accurately enter data into student information systems and to understand computer-generated information with proficiency in MS Word and Excel.
- Ability to interpret data from reports and execute workflow distribution.
- Availability to work evening and weekend hours.
- Demonstrated experience working in and fostering an environment of respect, professionalism and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU.
Preferred Qualifications:
- Earned or in-progress Bachelor's degree in Business, Data Management, or related field.
- Experience in a high-volume, customer service-oriented environment ideally in admissions processing.
- Experience in a position with extensive data entry and public contact.
- Experience working with Enterprise student information systems.
- Experience with Banner, PeopleSoft, Technolutions Slate, Liaison CAS, Perceptive Content (ImageNow).
