Eligible for Flex Schedule: Yes Hours per week: 37.5 hours Summary The admissions coordinator is responsible for managing the intake and placement process for youth entering both foster care and OMH Children's Community Residences (CR). This role requires a compassionate, detail-oriented professional who can navigate complex systems and ensure timely, appropriate placements that align with Glove House's mission and New York State regulations. Primary Job Functions Foster Care Admissions

  • Coordinate all aspects of foster care admissions, including intake assessments, documentation, and placement logistics
  • Match children with foster homes based on clinical, cultural, and logistical factors
  • Serve as liaison with OCFS, hospitals, courts, and biological families
  • Ensure compliance with NYS OCFS regulations and Medicaid documentation standards
OMH Community Residence Admissions
  • Manage referrals and admissions into OMH Children's Community Residences (CCR), in collaboration with the local Children's Single Point of Access (C-SPOA)
  • Review and process C-SPOA Part I and II applications for youth with serious emotional disturbances
  • Coordinate with clinical teams to assess eligibility and readiness for CCR placement
  • Facilitate transitions from inpatient settings or crisis residences into CCR programs
  • Ensure youth receive outpatient services, attend school in the community, and have access to rehabilitative skill-building supports
Compliance & Reporting
  • Maintain accurate, confidential records for all admissions
  • Prepare monthly reports on placement activity and service gaps
  • Participate in audits and quality assurance reviews for both OCFS and OMH programs
Family & Community Engagement
  • Support youth and families during the transition into care or residence
  • Provide trauma-informed guidance and resources to caregivers
  • Collaborate with schools, outpatient providers, and community partners to ensure continuity of care
  • On-call availability for emergency placements
Job Qualifications Education, Licenses and Certifications
  • Bachelor's degree in Social Work, Psychology, Human Services, or related field (Master's preferred)
  • Minimum 2 years of experience in child welfare, residential services, or mental health admissions
  • Familiarity with NYS OCFS and OMH regulations, including CCR and C-SPOA processes
  • Strong organizational, communication, and crisis management skills
  • Proficiency in Microsoft Office and electronic case management systems
Knowledge, Skills, and Abilities
  • Community resources, TCI principles, Trauma Informed Care Practices, strong understanding of State and Federal regulations.
  • Perform under high demands in fast-paced, diverse environment.
  • Handle confidential information appropriately.
  • Perform at a high level of autonomy with minimal supervision.
  • Ability to write routine reports and correspondence utilizing computer and standard Microsoft Office software; learn new computer applications as needed (i.e., myEvolve, Paylocity, etc.)
  • Ability to speak effectively before groups of clients; potential residents, their care team, and/or their parents/guardians; and employees of organization.
  • Work on multiple tasks while maintaining a high attention to detail, accuracy and quality.
  • Set appropriate limits and boundaries with clients; act decisively to protect clients when necessary.
  • Assess and apply proper intervention strategies.
  • Identify and understand environmental stressors.
  • Recognize importance of social, economic and environmental factors in the development and resolution of personal/family problems.
Schedule Expectations The incumbent will work a standard scheduled week; however, flexible hours may include weekends, evenings and holidays. The ability to work flexible hours is required as is the ability to provide on-call support when scheduled or to meet business needs.
