Admissions Clerk/Receptionist

Location: Johnson County Hospital, Tecumseh, Nebraska, Department: Health Information Management, Reports To: Admissions Lead

Job Summary: Arranges for the efficient and orderly admission of inpatients and admission of individuals who have hospital-based outpatient testing or procedures. Ensures that patient information is collected and that patients are aware of hospital policies and procedures. Interviews incoming patient or representatives and enters information required for admissions into computer database. Distributes appropriate information to ancillary departments. Participates in performance improvement and QA activities. Covers hospital reception desk during breaks and vacations.

Schedule: Admissions hours are scheduled Monday - Friday and Saturday am. Shifts are scheduled at a maximum of 8-hour shifts. Staff will rotate opening, closing, and Saturday shifts. Hours may vary and will be scheduled according to workload, specialty physician schedule, and nursing service needs. Use of overtime is discouraged unless required for patient care needs. Overtime must be approved by immediate supervisor.

- Opening shift 7:00 am - 3:30 pm (Occasional Start at 6:00 am - 6:30 am)

- Closing shift 8:30 am - 5:00 pm (Occasional Close at 5:30 pm - 6:00 pm)

- Saturday 8:30 am - 12:30 pm

Duties and Responsibilities:

  • Responsible for preregistering patients for scheduled admissions and outpatient procedures, obtaining authorization and verifying insurance eligibility.
  • Responsible for interviewing patients or their representative, where admission is unscheduled, for obtaining personal information or verifying information already on file, including emergency numbers and insurance information.
  • Responsible for obtaining signatures on Conditions of Admissions and initiating the advance directive process. Communicates with Nursing Services when no advance directive is available.
  • Provides information to the patient/representative about billing, complaint process, patient rights, HIPAA and visiting hours. Distributes hospital specific literature.
  • Refers patients to the Admissions Lead for financial consultations for the purpose of making payment arrangements.
  • Provides assistance to the Receptionist for break periods as required.
  • Provides daily phone coverage assistance for incoming hospital calls.
  • Communicates appropriately and clearly to supervisor, nurse managers, co-workers and physicians.
  • Responsible for knowing hospital policies and being familiar with hospital services that are available.
  • Demonstrates an ability to be flexible, organized and function well in stressful situations.
  • Treats patients and their families with respect and dignity; ensures confidentiality of patients' records and protected health information (PHI).
  • Interacts professionally with patient/family and provides explanations and verbal reassurance as necessary.
  • Maintains a good working relationship both within the department and with other departments.
  • Ensures that documentation meets current standards and policies.
  • The Admissions Department will understand and demonstrate compliance with HIPAA regulations and will comply with all JCH policies and procedures.
  • The Admission Department will carry out any other responsibilities deemed necessary by Admissions.

Qualifications and Skills:

  • High school graduate or equivalent. Preferred previous Health Information Management and/or Medical Assistant experience.
  • Basic computer knowledge. Ability to learn and become efficient with new programs.
  • Technical skills and proficiency with EHR software, communication, customer service, time management, critical thinking and troubleshooting skills.
  • Professional telephone techniques and patient relations.
  • Ability to work in a busy, fast paced office environment.
  • Able to treat others with respect and consideration.
  • Requires professionalism.
