Admissions Clerk

The Admissions Clerk is responsible for keeping track of the incoming referral faxes from referring agencies and responding within 10 minutes, staffing with providers for levels of care of referrals received, providing accepting provider information to referring hospitals and coordinating transportation, data entry with sensitive information, answering phone calls, providing resources to callers, and additional duties as needed. Key responsibilities include:

  • Accepting referred patients within 10 minutes to the appropriate unit of care.
  • Communicating with referring agencies and hospitals to encourage patient receivals.
  • Utilizing Best Care to register and admit patients into appropriate beds prior to their arrival.
  • Encouraging callers to present for assessments, as needed.
  • Processing patient health care forms and documents; including verifying insurance.
  • Providing assistance to the Intake Department with patient data entry and forms.
  • Upholding the organizations ethics and customer service standards.

Requirements:

  • High school degree or equivalent.
  • Experience staffing patients with providers and providing acceptance to the referring agency preferred.
  • All direct patient care staff will be trained in BLS (CPR), which must be renewed every 2 years.
  • All staff, both clinical and non-clinical, will be trained in CPI as part of their orientation. All direct patient care staff will be retrained every year.

Skills and abilities:

  • Proficiency with software and/or equipment (Microsoft Office applications including Outlook, Word, Excel and PowerPoint.)
  • Strong organizational skills with ability to prioritize projects, work relatively independently, manage multiple tasks, and meet deadlines.
  • Excellent verbal, interpersonal and written communication skills.
  • Ability to work with people with a variety of background and educational levels.
  • Ability to work independently and as part of a team.
  • Good judgment, problem solving and decision-making skills.
  • Ability to work in a fast-paced, expanding organization.
  • Maintains confidentiality of patients at all times.

Physical Requirements:

  • Use standard office equipment and access, input, and retrieve information from a computer.
  • Communicate effectively in person or via telephone in a manner which can be understood by those with whom the person is speaking, including a diverse population.
  • Give and follow verbal and written instructions with attention to detail and accuracy.
  • Vision: see details of objects at close range.
  • Coordinate multiple tasks simultaneously.
  • Reach forward, up, down, and to the side.
  • Sit or stand for minimum periods of one hour at a time and come and go from the work area repeatedly throughout the day.
  • Lift up to 30 pounds, exert up to 100 pounds of force occasionally, and/or up to 30 pounds of force frequently.
