Hiring Agency Cabinet for Health & Family Services | Dept for Community Based Services Location 1714 Perryville Rd Suite 550 Danville, KY 40422 USA Description The Kentucky Department for Community Based Services (DCBS) is a multi-faceted agency that provides servicesand programs to enhance the self-sufficiency of families; improve safety and permanency for children andvulnerable adults; and engage families and community partners in a collaborative decision-making process. DCBS is seeking a Part-Time Administrative Specialist (works less than 100 hours per month) to assist with theday-to-day operations of a fast-paced office setting. This position provides professional support ofadministrative nature in developing, implementing and maintaining various complex and routine projects Theideal candidate for this position is self-motivated, organized, able to multi-task and prioritize workassignments well.   • Provides professional administrative support to teams that serve the office and other agencies in theoffice.
  • Provides Cabinet regulations and policies applicable to staff.
  • Communicates routine information and decisions from Cabinet to community partners.
  • Screens types ofsupport and assistance needed by public and directs them to the appropriate areas.
  • Provides both written and oral communication to convey procedures, identify inconsistencies and ensureaccuracy of reports and invoices including tracking of performance evaluations, management reports, staffmeeting notes, and other correspondence.
  • Serves as timekeeper for multiple teams.
  • Completes time entry reports and assists staff in reviewingtimesheets for errors and tracks corrections.
  • Assist new timekeepers in training on timekeeping rules andprocedures.
  • Guides staff of KHRIS accounting templates and codes and leave balances.
  • Pro-card holder for the office.
  • Processes supply requisition orders.
  • Ensures accurate documentation of thepro-card ledger and orders all office supplies.
  • Systematically checks funds and avoid overspending budgetaryneeds.
  • Monitors system to ensure review and payment is made.
  • Maintains meeting minutes, reserves conference lines, conference rooms, and maintains filing for variousreports.
  • Serves as Random Moment Time Studies Coordinator for team.
  • Coordinates and submits timely reports, ensuringpolicy and regulations are met.
  • Other duties as assigned.

Minimum Requirements EDUCATION:Graduate of a college or university with a bachelor's degree. EXPERIENCE, TRAINING, OR SKILLS:One year of professional, administrative, or business experience. Substitute EXPERIENCE for EDUCATION:Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.
