The Integrated Air & Missile Defense Systems Department, within the Systems Engineering & Test Capabilities Discipline, is seeking an administrative specialist to support business operations for the department of 180+ engineers from our Tewksbury MA office location.
The individual performing in this role will be required to simultaneously handle a wide range of administrative duties that will assist with organizing, scheduling and prioritizing day-to-day activities. In addition, this position requires processing visitor requests, escorting of personnel within the building, coordinating domestic and international travel and accurately developing travel expense reports. Other duties include composing reports, charts and presentations to include inter-office correspondence and emails. The candidate would be expected to manage the staff member's calendars, phone calls and emails to assist them in effectively managing their time, dates and commitments. Understanding roles and responsibilities of the team will be key to delegating commitments to keep the organization running smoothly. The administrative assistant will need to work seamlessly across organizational boundaries including other departments within Engineering, Talent Acquisition, Human Resources, Security and other Raytheon businesses as required. To be successful, the ideal candidate will work with minimal supervision, propose solutions to problems, maintain a high level of confidentiality and have excellent communication and interpersonal skills.

What You Will Do:
Expense report reconciliation
Generation of charts, tables, reports, correspondence and other materials with speed and accuracy including preparation of spreadsheets in Excel and PowerPoint presentations
Scheduling, organizing and supporting as required conference calls and meetings
Performing basic research, data compilation and database management for projects and documents
Support to hiring activities and the onboarding of new employees (office space, equipment ordering, clearances processing, orientation, etc.)
Ordering of office supplies and making arrangements for catering
Keeping up to date records on required training and ensuring team members are compliant with all training requirements
Ability to establish and maintain excellent working relationships and communication channels with administrative specialist counterparts across engineering
Qualifications You Must Have:
Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience in a professional or similar role as a program/project coordinator
Experience with planning and organizing schedules and events
Proficiency with Microsoft Office Tool Suite and Outlook
The ability to obtain and maintain a U.S. government issued security clearance is required. U.S. citizenship is required, as only U.S. citizens are eligible for a security clearance
Qualifications We Prefer:
AS or BS degree in related discipline and/or Executive Administrative role
Demonstrated level of professionalism and discretion
Excellent written and verbal communication skills
Knowledge of Raytheon's business, company policies and procedures specifically related to ITAR and EXIM guidelines and procedures
Ability to obtain a DoD Security Clearance within 1 year of start date
Demonstrated experience with Raytheon systems for scheduling travel, expense reporting, visitor request / registration systems and clearance processing systems
Proven ability to prioritize work within a multi-tasking environment with the ability to work independently with minimal supervision and adapt to changes in priorities in a fast-paced environment
