Job DescriptionDivision/Department: Black Bear Casino Resort - Administration Location: Black Bear Casino Resort Reports To: Administrative Assistant Probationary Period: 90 days - Full time; 120 days - Part time FLSA Status: Non-Exempt (hourly) Classification: Class C Gaming Licensure Driver's License: Level - Driver's License Required Rate of Pay: $15.29-$17.20 per hour Responsibilities
  • Assist the supervisor as the initial contact point between Casino management and clients, public, and other Casino employees.
  • As directed, is responsible for receiving and routing all reports, forms, interoffice and interdepartmental mail to appropriate departments and locations.
  • As directed, assist in the responsibility for the Black Bear Casino Resort mailing delivery and pickup from local community postal services and reservation center mail services. Ensures that mail is stamped on all outgoing mail. Ensure that casino postage is ordered accordingly and by necessity. Inform supervisor of machinery maintenance necessity.
  • Leadership:
  • Serve as assistant trainer in the absence of the supervisor of new administrative secretaries/receptionist as requested by supervisor.
  • Ensure confidentiality of all mail documents, all messages, and all work-related requirements.
  • Able to answer employee questions on a variety of Black Bear Casino Resort policies, and/or guest questions regarding casino promotional events and other information questions.
  • Clerical:
  • As directed, responsible for the Administration switchboard system. Receive all incoming employee call-ins and route calls appropriately. Take messages internal and external calls and direct these messages to proper personnel.
  • Report telephone problem to the supervisor.
  • Responsible for and maintaining administration office machinery, such as copier, fax, and shredder.
  • Record all absence/late employee calls. Ensure that the employee call is reported to the supervisor on duty, and that the supervisor receives a copy of absence/late. Secure a copy of the employee's absence/ late for the administration file.
  • As directed, all employee paperwork and various other documents distributed and/ or as requested by supervisor.
  • As directed, is responsible for assisting in the distribution of casino employee lockers. Ensure a hard copy file is made for administrative personnel easy retrieval, and to enter data accordingly into a computer on employee locker occupancy. Report any existing problem to the supervisor.
  • As requested, we will assist in orders and supply deliveries from Inventory Control of Administrative office supplies. Ensure that Inventory Control receives a copy of the purchase order to ensure supplies are delivered as requested.
  • The Secretary/Receptionist will type schedules, memorandums, booklets, surveys, to include posting and other documents, as required by the supervisor and/or requested by other management personnel.
  • Provides support in all necessary work requirements for the annual recognition banquets and employee parties.
  • As directed, is responsible for Resort Guest count by compiling data per day, week, month, and yearend report.
  • As directed by the supervisor to takes minutes at Casino management and/or other management committee meetings.
  • As instructed by the supervisor, maintains guest banishment records and enters necessary information into the computer, input and retrieval, and sends information to required personnel.
  • As directed, will assist the Seamstress in Black Bear Casino Resort Uniform Program. Process all paperwork, provide purchase orders, invoices and receiving shipment forms. Ensure that employees have received complete uniform before sending purchase orders and invoices to the accounting department for billing payment.
  • General:
  • Ensure that coffee is available for management that occupies an office in the administration area or guests that visit the administration area.
  • As directed, is responsible for attending Administrations monthly team meetings. Employees must sign in and out on daily attendance log. Administration's daily shift log is available for reporting, and/or recording necessary daily occurrences.
  • As directed, runs shopping errands, picks up delivers supplies as requested.
  • Appropriate work attire per policy.
  • Must attend all mandatory department training courses.
  • Must attend all required Title 31 and/or SARC training courses.
  • Ensures confidentiality of financial records and all records for employees, band members and/or clients.
  • Displays a responsive and professional manner in promptly responding to all requests, complaints, and problems.
  • Recognizes that each employee is a representative of the Fond du Lac Band of Lake Superior Chippewa and is responsible for demonstrating courtesy, respect, and sensitivity to the needs of all others, including visitors and co-workers.
  • Represents the Fond du Lac Band of Lake Superior Chippewa and the department in a positive and professional manner in the community.
  • Required to maintain proper attendance including reporting to work on time in accordance with applicable policies.
  • Maintains a clean and organized work area.
  • Due to changes and modifications in the job from time to time, employees must be flexible and assume other responsibilities assigned by management as deemed necessary.
Qualifications
  • Valid Driver's License issued in the US is required.
  • Knowledge of office operations through two or more years experience in an office setting or completion of an accredited college, or university program with a concentration in office skills, or a combination of education and experience is required.
  • Knowledge of the Administration safety guidelines ensuring that proper posture is required to prevent injury. Computer work is essential therefore proper hand and arm movement, and posture accordingly to prevent injury.
  • Knowledge and requirements of computer applications to include Word, Access, Excel, and Microsoft Outlook.
  • An ability to maintain and organize a consistent filing system is required.
  • Operations consist of day shift; five days a week.
  • Ability to communicate effectively orally and in writing is required.
  • The ability to work independently and establish priorities is required.
  • Mindfulness to detail and accuracy is required.
  • Ability to establish professional and harmonious working relationships on all projects and with all parties involved.
  • Subject to drug and alcohol testing in accordance with the Fond du Lac Reservation's Personnel Policies.
  • Subject to pre-employment and annual background checks.
  • Travel is required.
PHYSICAL REQUIREMENT:
  • Sedentary work.
  • Subject to inside environmental conditions, including work in a smoking environment.
