Job Summary / Purpose

This role serves as a vital support to department management and staff, managing various administrative functions and ensuring smooth operations within the department. The key responsibilities include:

  • Scheduling appointments and maintaining the calendar
  • Coordinating incoming mail and managing correspondence
  • Making travel arrangements and organizing meetings
  • Creating and tracking reports and presentations using advanced software for word processing, graphics, and spreadsheets
  • Assisting in special projects and maintaining functionally related records

Job Duties and Responsibilities

  • Provide comprehensive secretarial and administrative support to the department manager.
  • Manage calendar, schedule events, travel arrangements, expense accounts, departmental meetings, and arrange conference calls.
  • Prepare documents, spreadsheets, presentations, and interoffice correspondence with minimal direction.
  • Oversee administrative affairs of the department including invoice processing, supply procurement, and training records.
  • Handle multiple assignments efficiently, meet deadlines, and maintain confidentiality of departmental matters.
  • Proactively communicate with managers/supervisors regarding work issues.

Minimum Requirements: Education

Typically requires vocational training, apprenticeships, or equivalent experience in a related field (a four-year degree is not typically required).

Minimum Requirements: Experience

Coordinator-Admin I: 0-2 years of experience

Coordinator-Admin II: 2-4 years of experience

Coordinator-Admin III: 4-6 years of experience

Coordinator-Admin IV: 6+ years of experience

Minimum Knowledge, Skills and Abilities

  • Ability to effectively manage multiple high-priority tasks while meeting deadlines.
  • Highly organized, able to juggle many tasks at once without becoming overwhelmed.
  • Flexible and proactive with strong attention to detail in a fast-paced environment.
  • Excellent interpersonal and communication skills.
  • Capability to build successful relationships with colleagues and external stakeholders.
  • Strong calendar management skills.
  • Proficient in MS Office (Word, Excel, Outlook, and PowerPoint).
