Administrative Coordinator I
Under general supervision, this position provides comprehensive administrative support for the Division of Student Life. The role requires discretion, independent judgment, and a strong sense of initiative in managing office operations, supporting departmental functions, and serving as a key resource for students, staff, and student organizations.
Salary information: The expected salary for this position is $43,888.00 annually.
Essential Duties & Responsibilities:
- Serves as the Office Manager for Student Life, ensuring smooth daily operations and administrative efficiency.
- Develops, implements, and monitors office procedures to maintain compliance and enhance productivity.
- Provides front-line support, greets students, guests, and callers; manages messages and appointments.
- Coordinates schedules, meetings, travel arrangements, and itineraries for the Vice President of Student Life and, occasionally, for direct reports.
- Attends meetings, takes notes, and represents the supervisor when needed; reviews and prepares documents for executive-level review.
- Prepares and routes contracts, DocuSign forms, and travel documents to support departmental needs.
- Assists with the recruitment, scheduling, and supervision of Student Life student workers.
- Uses FAMIS/Canopy to manage, reconcile, and monitor departmental and student organization accounts.
- Maintains and monitors office supply inventory, equipment, and physical files, processes requisitions and year-end inventory.
- Assists departments within Student Life (e.g., Student Engagement, Counseling Services, Residence Life) in developing and coordinating programs.
- Coordinates special events, meetings, and seminars; may provide on-site event support.
- Prepares reports, project summaries, and sensitive correspondence; analyzes information and offers recommendations.
- Develops, applies, and interprets administrative policies and procedures; researches and responds to policy-related inquiries.
- Monitors campus bulletin boards and communicates with clubs regarding updates or maintenance needs.
- Assists with departmental social media and communication efforts, including content creation, updates, and coordination of announcements and event promotions across platforms.
- Works flexible hours, including evenings and weekends, to support programs and student needs.

Knowledge, Skills & Abilities:
Minimum Qualifications:
- Bachelor's degree or equivalent combination of education and experience
- Two (2) years of related experience
- Knowledge of word processing, spreadsheet, database, and presentation applications
- Ability to multitask and work cooperatively with others.
- Interpersonal and communication skills
- Planning and organization skills
Preferred Qualifications:
- Three or more years related experience
- Higher education/state agency experience
- Experience with student activities, event planning, student organizations and/or food pantry.

- Ability to organize and set priorities, meet deadlines, maintain records, pay strict attention to detail and prepare reports
- Strong organizational, communication, and interpersonal skills
- Ability to manage multiple priorities, work independently, and collaborate across departments

- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), and database systems

- Excellent knowledge in business communications, office procedures and proofing skills.
