Administrative Associate
Baylor University is seeking an Administrative Associate. This position provides administrative support for the Department of Modern Languages and Cultures by managing travel records, facilities requests, and faculty scheduling. Assists with event planning, newsletter creation, classroom assignments, and website updates while collaborating with the office manager and Registrar's office. Ensures smooth daily operations through mail distribution, supply maintenance, and occasional event support.
A bachelor's degree and less than one year of relevant work experience are required. Three years of experience is preferred. A combination of education and experience will be considered in lieu of one another.
Applicants must currently be authorized to work in the United States on a Full-Time basis.
What You Will Do
- Maintains files of paper TAFs that are submitted to the department's main office for Chair approval and review. Works with the Financial Administrator on the travel expense spreadsheet to track faculty travel expenses throughout the fiscal year to ensure that the department is staying within budget.
- Submits general facility work orders and key requests for new incoming faculty and graduate students.
- Gathers information from department faculty regarding upcoming and recent events, book releases, conferences, student organizations, or other news that is directly related to Modern Languages and Cultures and creates a monthly newsletter and bi-weekly event calendar that is distributed across MLC.
- Using the CLSS system, courses for the Fall, Spring, and Summer semesters are entered throughout the year to build schedules and initiate classroom assignments for semester registration.
- Using the ASTRA scheduling system, rooms are reserved for departmental events and meetings. In addition, it is used to ensure that all courses that require a classroom have been assigned one. Working with the Registrar's office is occasionally needed.
- Maintaining the department website is done through the DURPLE system. Regular updates are needed across the website to update events, faculty information, and other relevant content.
- This involves backing up the department's office manager, if unavailable, to assign after-hours access to Baylor faculty or staff.
- Working with the office manager to ensure that department supply rooms are stocked and well-maintained. The process involves providing a supply order request to the office manager, who then places an order.
- Distributes mail/packages as needed to all department faculty, staff, and graduate student mailboxes.
- Assists the office manager with department events as required, including, but not limited to, planning, scheduling, attending events, setup/cleanup, etc. Occasionally, overtime may be accrued.

- Will assist department faculty and staff with other duties as required.
- Perform all other duties as assigned to support Baylor's mission
