Position Type: Secretarial/Clerical/Administrative/Secretary - Full Year Date Posted: 8/18/2025 Location: District Office Date Available: 10/15/2025 Closing Date: 8/27/2025 or Until Filled POSITION: Administrative Assistant to Director of ELL and Student Services REPORTS TO: Director of ELL and Director of Student Services COORDINATES WITH: Assistant Director of ELL, ELL Coordinators, Building Principals, Special Education Coordinators, School Secretaries WORK YEAR: Full Year, Full-Time (260 Days) OVERALL RESPONSIBILITIES: The Administrative Assistant to the Director of ELL and Student Services is responsible for supporting both the ELL and Student Services departments by responding to all inquiries and assisting in coordinating events set forth by the departments. This position also has significant involvement in the school central registration processes. RESPONSIBILITIES:
- Provide general secretarial support to the Director of ELL and Student Services.
- Meet and greet all visitors with a positive and professional demeanor.
- Maintains calendar of events; reads and routes incoming mail.
- Maintains office records and files, answers phones, and gives general information to the public in response to inquiries.
- Types correspondences, reports, and memorandums for the Director of Student Services and ELL.
- Maintain/track grant funds for ELL department.
- Assists with school year opening and closing(registration).
- Assists the front desk as needed.
- Performs other job-related duties as assigned.
QUALIFICATIONS:
- Minimum of 3-5 years of strong office support required.
- Working knowledge of Microsoft Office Applications (Word, Excel, Outlook), Aspen, Google, and project data queries.
- Excellent written and oral communication skills required.
- Strong organizational and problem-solving skills.
- Strong attention to detail preferred.
- Ability to meet deadlines in a fast-paced environment preferred.
- School environment experience preferred.
- Payroll/Grant knowledge preferred.
