Successful candidate will be a direct employee of WisEngineering, LLC (We are NOT a staffing agency) Candidate must be Green Card, EAD or US CITIZEN with the ability to pass an extensive background checkAdministrative Support Specialist (Reception & Office Services)Start Date: September 15, 2025 Location: Buffalo, NY (ON SITE ONLY) 350 Main St, Buffalo, NY 14202Contract Position | Full-TimeThe Administrative Support Specialist provides front desk and general clerical support in a professional office environment. The position requires strong communication skills, discretion, and the ability to manage multiple administrative tasks efficiently.Duties and Responsibilities
  • Provides receptionist duties at the front desk. Receives visitors and responds to telephone callers. Determines which calls and visitors should be referred to office staff and assesses the urgency of each. Processes visitors according to current visitor management protocols. Retrieves and distributes voicemail messages. Uses discretion when dealing with staff members and the public.
  • Responds to inquiries, providing general information regarding office programs. Advises callers or visitors to contact the appropriate Federal, State, or local agency concerning matters outside the USAO's purview, and furnishes the necessary address or telephone number when available.
  • Receives, reviews, and distributes incoming mail and packages, including service of process. Checks mail and annotates accordingly (e.g., date stamp, attorney assigned, case number). Ensures mail received from other agencies is appropriately screened and routed. Notifies appropriate staff members immediately when materials are received via special shipment (FedEx, UPS, etc.) or fax and places items in the appropriate internal mailbox. Processes outgoing mail as required. Monitors and updates office calendars and reservation systems. Orders FedEx and UPS shipping materials as needed.
  • Supports the U.S. Attorney's Office staff by providing a variety of administrative services including courthouse runs, binding documents, looking up mailing addresses, and setting up interviews and appointments. Maintains and distributes an up-to-date office telephone listing. Performs tasks requiring specialized knowledge of administrative processes, office procedures, and clerical systems to improve efficiency.
  • Opens and closes files in the case management database. Assembles new case files. Purges case files according to office policy. Assists with administration of the USA-5 program.
Required Qualifications
  • High school diploma or equivalent.
  • At least four (4) years of clerical or administrative support experience.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Experience operating multi-line phone systems with voicemail.
  • Proficiency with standard office equipment including photocopiers, printers, scanners, fax machines, binding machines, and label makers.
  • Strong interpersonal skills, professionalism, attention to detail, and the ability to handle sensitive information with discretion.
