Administrative Assistant - rootEd Missouri Job no: 494789 Work type: Springfield Campus Location: Springfield, MO Categories: Staff, Full-Time Staff/Administration JOB TITLE: ADMINISTRATIVE ASSISTANT DEPARTMENT: STRATEGIC PLANNING & GRANTS SALARY RANGE: $40,000 - $45,000 FLSA: NON-EXEMPT IMMEDIATE SUPERVISOR: Director of Operations - rootEd Missouri SCHEDULE DETAILS: Full-time/12-month position/PEERS/This is grant-funded with a limited-term appointment. Program Summary rootEd Missouri is a statewide initiative designed to improve postsecondary outcomes for students from Missouri's rural communities. rootEd supports districts' dedicated college and career advisors through a partnership with the Missouri Department of Elementary and Secondary Education (DESE). Through this partnership, advisors have been placed in rural Missouri high schools. These advisors work alongside school counselors and district leadership to ensure every student graduates with a postsecondary plan. Ozarks Technical Community College (OTC), sponsored by rootEd, will work with DESE to set the vision and direction of this program, provide training and ongoing support to school-based advisors, collect data to evaluate the success of the program, and increase community engagement and business partnerships to strengthen postsecondary outcomes. Position Summary The rootEd Missouri Administrative Assistant is responsible for the daily administrative functions necessary for the operation of the program. This position will support office operations and personnel with day-to-day management of scheduling, event planning, purchasing and procurement, and related administrative duties. This is a full time, in-person position reporting to the Director of Operation and will be located at the Ozarks Tech campus in Springfield, MO. Essential Job Duties
  • Assist the rootEd Missouri team in daily operations, including administrative support and project tracking, under the direction of the Director of Operations.
  • Design and create visual content, including PowerPoint templates, newsletter templates, conference programs, promotional flyers, and banners.
  • Perform data uploads, including cleaning, formatting, and preparing data for use in the CRM system.
  • Develop and maintain reports, including tracking systems for program deliverables, such as materials and resources delivered to schools, ensuring accuracy and timely updates.
  • Track and reconcile program expenditures and maintain regular oversight of the program budget.
  • Assist with purchasing, procurement, and inventory management for program supplies and resources, including facilitating check requests and purchase orders for all rootEd Missouri program partners.
  • Manage and process procurement cards to ensure accurate financial tracking aligned with OTC and program policies.
  • Assist with planning, coordinating, and executing program events, including managing schedules, logistics, and communication with participants.
  • Perform various clerical duties such as greeting visitors, answering calls, and scheduling.
  • Respond to requests from team members promptly and independently, ensuring timely and accurate communication.
  • Maintain office supplies and equipment, ensuring necessary resources are available for program and office needs, including managing mail and packages.
  • Exhibit exemplary attendance and punctuality in all job-related functions.
  • Comply with college policies and procedures.
  • Perform other duties as assigned, including attending college functions and attending community events.
Required Knowledge, Skills & Abilities
  • Strong customer service, office management, or clerical experience.
  • Proficiency in designing and creating visual content.
  • Ability to develop and maintain reports and tracking systems.
  • Strong attention to detail.
  • Exceptional organization, time management and problem solving skills.
  • Ability to manage multiple priorities, adapt to changes, and work independently with minimal supervision.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite.
  • Strong oral and written communication skills.
Preferred Knowledge Skills & Abilities
  • Associate degree from a regionally accredited institution of higher learning.
  • Three years clerical experience in an office setting.
  • Experience with purchasing and procurement processes.
  • Familiarity with tracking systems for materials or activities.
  • Familiarity with Canva Pro or similar design tools.
  • Experience using a Customer Relationship Management (CRM) software.
  • Experience with Colleague or similar administrative software.
  • Experience working within a collegiate setting.
