- Administrative Support
- Schedule and coordinate meetings, workshops, and technical assistance sessions for Title III and Special Initiatives.
- Maintain the Title III project calendar and ensure timely communication of deadlines and deliverables.
- Draft correspondence, meeting agendas, minutes, and official reports.
- Project Coordination
- Assist Activity Directors and Project Managers with the preparation and submission of required reports.
- Monitor project timelines and deliverables to ensure compliance with grant requirements.
- Maintain accurate records of programmatic and fiscal activities for audit readiness.
- Fiscal & Compliance Support
- Track project budgets and provide expenditure updates in collaboration with Fiscal Affairs.
- Process requisitions, purchase orders, travel expense authorizations (TEA), and employee travel/training (ETT) forms in accordance with institutional and federal policies.
- Prepare and reconcile expense reports and ensure supporting documentation is filed properly.
- Assist in maintaining inventory records for Title III-funded equipment and supplies.
- Audit & Reporting
- Compile and organize documentation for annual internal and external audits.
- Assist in preparing quarterly and annual performance and financial reports for submission to federal agencies.
- Ensure compliance with Title III legislative requirements, federal Uniform Guidance, and institutional policies.
Qualifications
- AA/AS in Business Administration, Office Technology, or Associate in Arts/Science or strong Business Acumen
- Minimum of 1 year administrative or project coordination experience (preferably in higher education or grant-funded programs).
- Knowledge of federal grant administration, fiscal processes, or Title III/DOE compliance preferred.
- Strong organizational, time management, and problem-solving skills.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn institutional systems (e.g., Jenzabar, TEAMS, Zoom, Moodle).
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively with diverse stakeholders.
