Job Description :

This position will serve as the Administrative Assistant for the Workforce Program at Cornell Cooperative Extension Association of Tioga County and, under the oversight of the Association Youth Workforce Development Educator, will provide administrative support, confidential data entry, communications, document control, coordinating client appointments, and voucher submissions. Under the direction of the Executive Director, this position will organize and maintain all office files, order and maintain office supplies, answer the phone, take messages and greet the public.

POSITION DETAILS:

This position is a part-time non-exempt position - 50% FTE, 20 hours per week. The hourly rate for this position is $16.00 to $18.00 commensurate with experience. This position, based on eligibility, offers a comprehensive benefit package, to include: health and dental insurance, retirement, vacation, sick and personal leave.

POSITION INFORMATION:

Required Qualifications:

  • High School Diploma or Equivalent Education.

  • Experience relevant to the role of the position.

  • Valid NYS Driver's License and the ability to meet travel requirements associated with this position.

  • Proficiency with Microsoft Office products (Word, Excel, Outlook) and Adobe (PDF) and/or ability to learn these applications.

  • Ability to maintain office files and organize an office environment.

  • Ability to prioritize tasks and manage multiple projects

  • Ability to maintain a high level of confidentiality in maintaining client files and communications.

Preferred Qualifications:

  • Associate's degree

  • Familiarity with basic bookkeeping or budgeting tasks

  • Demonstrated ability to work effectively with people of varying ages and socioeconomic and ethnic backgrounds.

  • Demonstrated ability to work effectively with co-workers, customers, volunteers and the general public.

POSITION RESPONSIBILITIES:

Administrative Responsibilities:

Coordination/Operation - 95%

  • Assist the Workforce Development Educator with coordinating basic office functions that support the Community Workforce Program, including the WIOA Youth Employment Program.

  • Maintaining files, data entry, and performing general administrative tasks including mailings, scanning, faxing, and copying.

  • Maintain professional relationships with other agencies, organizations and businesses in fulfilling the administrative duties of the position.

  • Order and maintain all office supplies.

  • Prepare and edit vouchers and basic reports.

  • Organize and maintain all hard copy office files and electronic files as assigned.

  • Assist with intake interviews and orientation for new program clients.

  • Support special projects as assigned.

Professional Improvement and Other Duties as Assigned - 5%

  • In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities.

  • Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned.

Health and Safety - Applied to all duties and functions.

  • Support the Association to maintain a safe working environment.

  • Be familiar with and strive to follow any applicable federal, state, local regulations, Association health and safety policy/procedure/requirement and standard.

  • Act proactively to prevent accidents/injuries and communicate hazards to supervisors when identified.
