In this pivotal role, you'll be the go-to person who keeps operations running smoothly, empowers faculty and staff to focus on what they do best, and helps create an exceptional experience for students. From coordinating key departmental projects to orchestrating events that shape the Mendoza community, you'll play a critical role in advancing the college's mission of using business as a force for good. The Administrative Assistant is an essential member of the Administrative Support Team, providing vital support to Mendoza's academic departments. This role is dynamic and multifaceted, combining daily operational management with broader contributions to department goals and college initiatives. By coordinating activities, managing processes, and supporting faculty, staff, and students, the Administrative Assistant helps create an efficient, collaborative, and inclusive environment within the college. In this position, you will oversee a wide range of responsibilities, including calendar management, travel and expense logistics, budget oversight, and departmental communications. You will work closely with the Department Chair to track priorities, manage timelines, and ensure accurate information for decision-making. Beyond daily operations, you will also contribute to strategic projects, cross-departmental collaboration, and special initiatives that align with the college's mission. Financial operations are an important part of the role, including processing bills and expense reports, monitoring budgets, and supporting annual planning and forecasting in partnership with the Mendoza Finance Team. You will also manage core administrative functions such as mail and supply management, digital assets like newsletters and websites, and the onboarding and payroll process for student workers. The Administrative Assistant supports faculty through key tasks such as coordinating hiring processes, managing requirements for international faculty in partnership with Notre Dame Global, and assisting with tenure and promotion processes. You will also play a central role in planning and executing departmental and college-wide events such as commencement ceremonies, academic conferences, and faculty or student receptions, ensuring seamless delivery and meaningful experiences. This role calls for a highly organized professional with strong communication skills, attention to detail, discretion, and the ability to manage multiple priorities with a sense of urgency. The Administrative Assistant is more than a support role-it is a trusted partner in advancing departmental operations and an important contributor to the culture and success of the Mendoza College of Business. QualificationsMinimum Qualifications:
  • High school degree or GED.
  • Candidates should have at least three years of administrative support experience, including:
    • Ability to establish objectives and develop strategies for achieving objectives
    • Exceptional organizational skills, and an ability to manage a complex portfolio of activities happening concurrently
    • Ability to develop and maintain diverse stakeholder relationships
  • Collaborative and team-oriented working style
  • Strong organizational capacities
  • Comfortable working autonomously and with some level of ambiguity
Preferred Qualifications:
  • Experience working in an inter-cultural; environment
  • Budgeting and expense management preferred
  • Experience in collaborative environments like Google Suite
