Job Title: Administrative Assistant
Job Description
We are seeking a dedicated and detail-oriented Administrative Assistant to provide essential support across various departments. This role involves managing administrative tasks, maintaining exceptional customer service standards, and ensuring the smooth operation of departmental functions.
Responsibilities
Provide support to numerous departments, delivering superior customer service to all internal and external customers.
Perform timekeeping and attendance reports.
Process employee expense reports using PaySource and Oracle Expenses.
Maintain document filing, retention, office supplies, and department housekeeping.
Coordinate travel arrangements and schedule logistics for meetings as needed.
Gather data, compile information, and prepare reports.
Support plant and department safety initiatives.
Manage and troubleshoot plant personnel devices, including setup and replacements.
Contact vendors for copier/printer repairs as needed.
Prepare and maintain the yearly boot allowance for covered employees.
Update ARCOS to reflect vacation, time off, and update the call-out list weekly. Prepare and distribute quarterly and yearly reports.
Maintain monthly fuel accounting and process entries in COMTRAC for monthly closeout.
Order flowers for sickness or bereavement for departmental time groups.
Serve as FMLA contact for departmental time groups.
Verify on-site contractor timesheets using Tableau and backup documentation.
Provide backup support for Administrative Assistants in other departments when needed.
Essential Skills
High school diploma or equivalent is required.
Three to five years of administrative experience is required.
Extensive experience in administrative support, including conference, travel, and meeting arrangements, report preparation, and calendar management.
Proficiency in Microsoft Office applications.
Ability to manage sensitive information and maintain confidentiality.
Detail-oriented with multi-tasking abilities.
Strong organizational skills and ability to establish priorities.
Effective written and verbal communication skills.
Ability to create, compose, and edit written materials.
Additional Skills & Qualifications
Two-year degree or vocational school/certification is preferred.
Accounts Payable and timekeeping experience preferred.
Experience with union employees in a plant environment is preferred.
Experience with SHIPS, PeopleSoft, or other people management software is preferred.
Positive attitude and ethical behavior.
Excellent interpersonal skills and the ability to interact with all levels of employees and management.
Flexibility, professionalism, and the ability to build and maintain positive relationships.
Work Environment
This position is located onsite at EC Gaston. It requires adherence to safety protocols, including wearing a hard hat, safety glasses, steel-toe shoes, and a reflective vest. The role demands a commitment to safety and compliance, ensuring a secure working environment.

This position based out of Wilsonville, Alabama.
Pay and Benefits
The pay range for this position is $28.00 - $33.00/hr.
