Administrative Assistant Details

Pay: $20 - $25 per hour

Schedule: Monday - Friday (8 AM - 4:30 PM)

Requirements: High school diploma + Proven administrative/bookkeeping experience + Familiarity with basic accounting principles, bookkeeping, and financial reporting + Proficient in the use of Microsoft Office + Excellent customer service skills

Main Responsibilities

Customer Service & Scheduling

Answer phones and provide exceptional customer service, maintaining a detailed call log

Coordinate staff schedules to optimize workflow and job coverage

Manage the Work-in-Progress (WIP) Board, keeping teams updated on job statuses

Complete First Notice of Loss (FNOL) documentation accurately

Prepare and manage job paperwork for crews and estimators to ensure timely conversion of estimates

Franchise & Compliance Management

Oversee job file documentation, communications, and subcontractor activities

Ensure compliance with National Accounts Program Agreement (NAPA) and third-party programs

Manage franchise-specific compliance documents and track fixed assets

Accounting & Bookkeeping

Bill customers, process payments, and manage accounts receivable

Maintain daily bookkeeping, prepare financial reports, and manage petty cash

Administer payroll and submit Royalty Reports on time

Administrative & HR Support

Maintain organized file systems, company calendar, and schedules

Manage incoming/outgoing mail, emails, faxes, and internal bulletins

Ensure proper on-hand inventory of office and general supplies

Maintain employee documentation, including HR and payroll files

Review HR basics, safety, and franchise policies with employees

IT & Marketing Support

Coordinate computer and software upgrades/installations and perform regular data backups

Oversee franchise website maintenance and perform public relations activities

Support Continuing Education (C.E.) courses and organize marketing mailings

Conduct 6-month recalls to enhance customer relationships and identify sales opportunities

Other Responsibilities

Perform additional duties as assigned to support office operations, franchise compliance, and team success
