Pawnee Nation Behavioral Health, in partnership with Ascension Recovery Services, is building something groundbreaking - and we're looking for a friendly, professional, and highly organized Receptionist & Administrative Assistant to join our team. ABOUT US Pawnee Nation Behavioral Health is on a mission to revolutionize behavioral health and substance use disorder treatment in our community. We believe in providing compassionate care, breaking down barriers, and empowering individuals on their journey to recovery. WHAT YOU'LL DO In this role, you will be the first point of contact for our patients, visitors, and team members. You'll ensure that everyone who walks through our doors or calls our office feels welcomed, respected, and supported. Your key responsibilities will include:
- Front Desk Operations: Cordially greet and direct patients, visitors, and staff via phone, in person, and email.
- Routing & Communication: Learn team members' roles and functions to properly direct inquiries.
- Patient Scheduling: Assist with scheduling patient appointments with medical providers.
- Office Support: Maintain office supply inventory, organize the workroom, and ensure business equipment is functioning.
- Meeting Coordination: Manage meeting room calendars, schedule events, and distribute related information.
- Administrative Duties: Perform record management, reporting, mail distribution, invoicing, and database updates.
- Admissions Assistance: Support the admissions coordinator and assist with the admissions process as needed.
- Confidentiality & Compliance: Adhere to HIPAA standards and maintain the strictest patient confidentiality.
QUALIFICATIONS
- High school diploma or equivalent required.
- Strong computer skills, including Outlook email and calendar.
- Previous experience in a medical or behavioral health setting preferred.
- Familiarity with electronic medical records (EMR) systems is a plus.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to multitask in a fast-paced environment while maintaining professionalism.
WORK CONDITIONS & PHYSICAL REQUIREMENTS
- Setting: Indoor, environmentally controlled workspace.
- Physical Requirements: Frequent sitting and standing; repetitive motions; use of hands for handling objects, tools, and controls; ability to lift or move up to 10 lbs regularly.
- Communication: Frequent interaction in person, by phone, video, and email.
