We're looking for an organized and detail-oriented Administrative Assistant to join our team in Los Angeles. If you're a proactive problem-solver with a knack for keeping things running smoothly, we want to hear from you.

What you'll be doing

As an Administrative Assistant, you'll be responsible for a variety of tasks that support our daily operations. Your main duties will include:

  • Managing Orders, Invoices, and Budgets: You'll handle the entire order-to-invoice process, ensuring accuracy and timeliness. You'll also assist with budget tracking and reconciliation.
  • Managing Schedules and Calendars: You'll be the master of the calendar, coordinating meetings, appointments, and travel arrangements for various team members.
  • Managing Communications: You'll serve as a key point of contact for internal and external inquiries, drafting professional emails, and ensuring clear communication across the board.

What you'll bring to the table

We're looking for someone with a strong skill set who can hit the ground running. The ideal candidate will have:

  • Exceptional Organizational Skills: The ability to multitask, manage multiple projects at once, and maintain a high level of accuracy is a must.
  • Excellent Written & Communication Skills: You should be able to communicate clearly and professionally, both verbally and in writing.
  • The Ability to Prioritize: You'll need to assess urgent tasks and manage your workload effectively to meet deadlines.
  • 2-3 years of related experience in an administrative support role.
  • A Bachelor's degree.
  • Proficiency in: Office 365, Outlook, PPT, Excel, and Windows PC.
  • A typing speed of at least 35 WPM.
  • Experience with Zoom is a plus.

Details at a glance

  • Pay: $25/hour
  • Schedule: Monday-Friday, 8 a.m. to 5 p.m.
  • Location: This is a 100% onsite position at our office located at 4733 W. Sunset Blvd., Suite 330, Los Angeles, CA 90027. We provide access to an employee parking lot.
  • Travel: You may be required to attend occasional meetings in Pasadena.
  • Dress Code: Business casual
