Administrative Assistant
We are looking for a detail-oriented Administrative Assistant to deliver exceptional support to our team in Manhasset, New York. This long-term contract position offers the opportunity to contribute to the smooth operation of the office by managing a variety of administrative tasks and ensuring efficiency in day-to-day processes. The ideal candidate will bring strong organizational skills, adaptability, and a proactive approach to their work.
Responsibilities:
- Maintain a clean, organized, and efficient office environment, ensuring supplies and equipment are fully stocked and functional.
- Oversee scheduling by coordinating appointments, meetings, and travel arrangements while proactively addressing potential conflicts.
- Serve as the main point of contact for communications, including responding to inquiries and distributing relevant information.
- Input and update accurate data in company databases while preparing reports, presentations, and other documentation.
- Assist in preparing and organizing materials for meetings, including taking minutes and sharing summaries with attendees.
- Collaborate with team members to support various administrative functions and office operations.
- Handle facility-related tasks, ensuring the office environment meets operational needs.
- Actively contribute to improving processes and procedures for greater efficiency.
Requirements:
- Proven experience in an administrative support role, showcasing strong organizational and multitasking abilities.
- Proficiency in using office software, including word processing, spreadsheets, and presentation tools.
- Excellent communication skills, both written and verbal, with the ability to interact professionally at all levels.
- Strong attention to detail and accuracy in managing data and documentation.
- Ability to anticipate needs, resolve scheduling conflicts, and adapt to changing priorities.
- Experience in preparing materials and taking minutes during meetings.
- Self-motivated with a proactive approach to problem-solving and improving workflows.
