Job Overview:
We are seeking a highly organized and professional District Administrative Assistant to support the Managing Director and the successful operation of the district. This individual will play a key role in magnifying our team's efforts through strategic social media use, assisting with recruiting efforts—particularly on college campuses—and organizing community volunteer projects. The position is essential to the smooth operation of office processes, exceptional member service, and strong community engagement.
Education & Work Experience Requirements:
- Associate degree in business or equivalent related work experience.
Skill Requirements:
- Excellent customer service, communication, problem-solving, and organizational skills.
- Strong social media skills to help promote district activities, recruiting efforts, and community involvement.
- Solid computer proficiency, including Outlook, Word, Excel, PowerPoint, CRM systems, and other relevant software.
- Ability to be flexible and adapt to a changing work environment.
- Ability to maintain confidentiality and handle sensitive information professionally.
Duties and Responsibilities:
- Supports office operations related to organization and communication such as preparing documents, distributing incoming work, filing documents, scheduling meetings, greeting visitors, answering incoming communications, updating social media tools, etc.
- Uses social media platforms to promote the team's work, recruit new representatives, and highlight community involvement.
- Assists in planning and executing volunteer projects in the local community.
- Assists with recruiting, especially on college campuses—this may include prescreening candidates, scheduling interviews, representing the organization at career fairs, and coordinating follow-up.
- Answers questions and determines appropriate referral for members' requests and sales leads.
- Acts as Home Office liaison for required service items and education and training topics.
- Responds to inquiries in a pleasant and helpful manner using polite and professional communication.
- Assists with contracting and licensing processes for representatives, including helping with licensing requirements and training tools.
- Assists with fraternal processes: submitting requests, filing reports, making arrangements, reconciling receipts, etc.
- Prepares and submits expense reports to Home Office.
- Supports staff accountability and performance tracking.
- Works directly with the Managing Director to implement and support initiatives that drive district success.
- Specific duties may vary based on the needs of the district and the operational style of the Managing Director.
- Performs other duties as needed.
Physical Requirements:
- Frequently required to sit, talk or hear, and use hands to handle or touch objects or controls.
- Regularly required to stand and walk. Occasionally required to stoop, bend, or reach above the shoulders.
- Occasionally lift up to 25 pounds.
