Administrative Assistant

We are seeking a highly organized and motivated Administrative Assistant to provide comprehensive support for our multi-family property operations. This role plays a vital role in ensuring the smooth day-to-day functioning of our properties, supporting both on-site staff and property owners.
Responsibilities:
Resident Relations:
- Answer phones and emails, responding to resident inquiries and concerns in a professional and courteous manner.
- Process move-in/move-out procedures, including lease agreements, applications, and security deposits.
- Prepare rent notices and manage rent collection procedures.
- Coordinate communication between residents and on-site staff for maintenance requests and other needs.
Property Management Support:
- Maintain accurate and up-to-date resident and owner records in a property management software system.
- Generate reports on occupancy rates, rent collection, and other key metrics.
- Assist with the preparation of budgets and financial reports for property owners.
- Coordinate with vendors and service providers for property maintenance and upkeep.
Administrative Tasks:
- Manage the property calendar, scheduling meetings and appointments for property staff and owners.
- Prepare professional documents, presentations, and correspondence.
- Manage incoming mail and distribute it to appropriate personnel.
- Maintain an organized and efficient office environment.
Additional Responsibilities:
- Stay up-to-date on relevant fair housing laws and regulations.
- Maintain a positive and professional demeanor, fostering a welcoming atmosphere for residents and owners.
- Perform other duties as assigned by the General Manager.
Qualifications:
- Minimum 1-2 years of experience in a property management or administrative role.
- Proven proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- Ability to prioritize tasks, work independently, and meet deadlines.
- Detail-oriented and meticulous with a keen eye for accuracy.
- Positive and professional attitude with a commitment to providing exceptional customer service.
- Experience with property management software a plus.
- Familiarity with fair housing laws and regulations preferred.
