Job Description:
Our client is seeking a detail-oriented, organized, and proactive Administrative/Executive Assistant to support our day-to-day operations. This is a unique opportunity for someone who is not only an administrative professional but is also eager to learn and grow into a tax preparation role. The ideal candidate will be a key part of the team, ensuring smooth office functionality while also being trained on the fundamentals of accounting and tax preparation.
Responsibilities:
Administrative Support (Primary Role):
- Manage and organize office files, documents, and client records, both physical and digital.
- Schedule and coordinate appointments and meetings with clients.
- Handle incoming calls, emails, and correspondence in a professional and timely manner.
- Maintain and order office supplies.
- Assist with billing, invoicing, and payment processing.
- Prepare and edit correspondence, reports, and presentations.
- Act as the primary point of contact for clients, ensuring a positive and professional experience.
Operational Support:
- Assist in the preparation and organization of tax season materials.
- Help with data entry and maintain accurate client databases.
- Support the executive team with various tasks as needed.
- Training and Development:
- Participate in training sessions to learn the basics of tax preparation and accounting principles.
- Receive hands-on guidance to prepare for a future role as a Tax Preparer/Accountant.
- Be open to learning new software and tools used in the tax industry.
Schedule and Hours:
- Tax Season (January - June):
- Full-time, 35-40 hours per week.
- Hours: 8:00 AM - 4:00 PM (In-office).
- Off-Season (July - December):
- Part-time, 20-25 hours per week.
- Flexible schedule (Hybrid: combination of in-office and remote work).
Qualifications:
- Proven experience as an administrative assistant, executive assistant, or in a similar role is preferred.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- High level of integrity and ability to handle confidential information with discretion.
- A positive attitude, strong work ethic, and a willingness to learn.
- Experience in the tax or financial industry is a plus but not required.
- Must be a self-starter and able to work independently as well as part of a team.
