Who You Are::
As an Administrative Assistant you will work closely with the Operations Manager and be responsible for various types of functions including, but not limited to the following: answering phones; requesting certificates of insurance; data entry for a Work in Progress (WIP); tracking clients proposals on Excel spreadsheets; learning and utilizing the NYC Dept. of Buildings website for obtaining DOB sign-offs.
What You'll Do::
- Support Operations Manager
- Answer phones for managers including
- Keep track of bids/proposals for new projects, file back up
- New jobs/contracts enter customer & contract information in Unix (our billing system), make job folders
- Update project addresses and project tracker lists
- Perform data entry for Work in Progress (WIP)
- Manage click safety account
- File Contract and Vendor invoices
- Order office supplies as needed
What You Bring::
- 2+ years of experience in an office setting or administrative role
- Highly organized and great communication skills
- Intermediate MS Word and Excel skills
- Ability to learn new systems with ease
- Bilingual (Spanish) is a huge plus
